Streamlined Onsite Check‑In - Cvent

Overall, I’ve had a great experience with Cvent OnArrival. It keeps our check‑in process smooth and efficient and saves our team a lot of time onsite. The only challenge is the initial setup, which isn’t always intuitive, but once you get the hang of it, the system works incredibly well.

Pros:
I like that Cvent OnArrival is very easy to use and makes attendee check‑in extremely fast. It saves a significant amount of time onsite, and the ability to print badges on demand is a huge advantage.
Cons:
The biggest drawback is how difficult the setup can be, especially for new users. A lot of key functions are hidden within the backend, and the navigation isn’t always intuitive, which can make configuration more time‑consuming than expected.

We use this in conjunction with Cvent as our check in process. Love the functionality of it for our printing.
Cons:
Wish the larger OnArrival printers were more readily available. Pricing is too high for our standard events. Never sure if our stock from PC Namtag works with our printer until we have it on hand. Wish there was more knowledge about that.

Higher price for a great product

This is actually one of the easiest parts of the meeting I produce. After using it for 5 conferences, I feel confident in OnArrival getting the job done.

OnArrival is a great tool for tracking attendee check-in and badge printing. It offers tons of reports and the individual session scanning works well onsite and provides accurate counts to track event no-shows. The kiosk system is very intuitive in self check in and manual “face to face” modes. Looking at peak live registration numbers over 4 iPads, registration staff were able to easily check in close to 200 attendees in under an hour. Cvent also offers lots of staffing support in the lead up and onsite to ensure a smooth rollout and use.
Cons:
This software is quite pricey so allocate a healthy budget if you are using this system. Because badges are an essential part of our meeting security, I feel it is worth it.

Cvent OnArrival Easy to Learn and Implement

Great overall experience. Learned to access the software with very little prior knowledge. 1. I currently use Cvent OnArrival to manage the registration process, check-in staff members and view statistics on the registration process. I am often able to determine if a second day of registration expense is required based on the data pulled from OnArrival.

The ability to use multiple check-in stations while continuing to access registration details in Cvent OnArrival. Create specialized reports based on the type of event and information requested by stakeholders.
Cons:
Least favorite aspect is the inability to turn Cvent OnArrival off credit the event back to the contract.

Making life at onsite events easier

This software is something we only use for the largest, most complicated events we have because of the cost but it really does help modernize the onsite experience and make it more efficient. If you are using the CVENT family of event tools, it makes a lot of sense to look at all the options to use what works for your particular event. If you decide to use OnArrival with CVENT, you have your registration information integrated so you just need to determine how you want the badges to print and what options or features they include.

We usually manually print out, prep and organize badges and for big events it becomes a huge task that takes a lot of time and manpower. OnArrival makes the process very quick and easy by printing badges on demand and keeping track of them automatically. Badge details can be fully customized so that opens up a lot of possibilities for large events with many registration types and options that go along with them.
Cons:
The ease of printing badges on demand also makes reprinting and wasting badges a lot easier and it leads to producing a huge amount of additional waste. Using the system means you are dependent on a networked environment and also the printing machines that can cause delays when they malfunction.

Our onsite check ins have never been easier

We used to check people in with a manual paper checklist. Using OnArrival has made things more efficient and accurate since the app will tell us about any issues with registrations. It is easy for anyone to learn and use. Not much more to say about this because it just works as intended and works very well.

Pros:
As a CVENT user, OnArrival is great for on site event check in and registration management. It saves a lot of time when you have a participant that did not pre-register show up... Instead of having them go through the whole registration process, you can quickly add them from your iPad and they are in the system and marked as a participant.
Cons:
To get the full functionality of OnArrival you have to be willing to pay... My CVENT contract only includes the basic version (which is awesome... don't get me wrong) but the higher packages have session tracking, and sign in features which would be very useful with my larger event and some trainings. The high prices are hard to justify with the costs we already have from CVENT.

The software was really easy to use, integrated seamlessly with our Cvent web events, and collected onsite payment all in a one-stop-shop
Cons:
The thing i disliked the most was that it functioned best with Cvent events - we didn't have great luck with the events side of things, which made it challenging to push for OnArrival, even though this side of the technology functioned really well.

Pros:
The OnArrival software eases event check-in and badge printing. It does a great job at that. And it interfaces well with the underlying database in Cvent's event management system.
Cons:
We used On Arrival once. While it was nice and slick, it was very expensive. We went back to a manual check-in procedure and that went just fine.
