About M-Files

M-Files is a document management system designed to organize information and improve efficiency. It is used in industries such as accounting, manufacturing, consulting, engineering, wealth management, energy, scientific research and insurance brokerage, where maintaining context and governance of information is essential.

The system uses a metadata-based architecture to organize documents by context instead of traditional folders, simplifying information management and retrieval. Built-in governance and workflow automation help ensure document accuracy and compliance while reducing manual tasks. Security and compliance features enforce retention policies and maintain audit-ready information.

Artificial intelligence capabilities are integrated through M-Files Aino, which utilizes document context for AI operations. Pros:

Still provides an efficient and secure method to lock our documents and provide version control aligning with the ISO requirements

Cons:

We initially went with M-Files as they promised we could integrate their system with Google which our company is based on. They’ve never been able to fulfill that requirement resulting in us running two systems for documents

Reasons for choosing M-Files

Functionality. Although M-Files is drastically the more expensive option, it allows us the quickest and easiest integration into our current system.

M-Files gave us the ability to establish workflows for change management and new document control.

Comprehensive product that can meet all requirements

We use it to digitize and automate document processes - for example, for incoming invoices, contract management and archiving. This central, structured filing system saves time, reduces media disruption and supports cross-location collaboration.

Pros:

The product has a modern interface that runs on all platforms. Integration with common standard software is excellent. Support is competent. The variety of options I have for storing documents. The systems supported (not just SAP). The intuitive use of the program-both filing and searching.

Cons:

A bumpy start has improved over time. Potential still exists. I am a satisfied user and administrator.

Reasons for switching to M-Files

The customer support abandoned us at the implementation phase which paralyzed our plans to fully adopt it.

A good tool

It's an excellent tool. It can't be overwhelming to start with, but if you stick with it, it becomes second nature.

File management,.once you get over the learning curve, is great. The use of metadata makes searching a breeze.

Cons:

It's a steep learning curve. You real need an in house champion to make it work. Training is available thankfully.

Exploring the key features of M-files, very demure.

M-files is very easy to use and you can access it over Mobile apps.My experience has been superb and very fruitful. Kudos Mfiles.

Pros:

Let's all agree that M-files is the best document and information management software you can ever get. My favorite feature is the security and compliance tools. Automate your approvals, notifications and tasks with M-files. The fact that it integrates with with so many software makes it the right one.

Cons:

Mfiles has really helped me and I will be so selfish to complain. Your customer support is so incrediblly helpful.

Reliable and Efficient Document Management with Great Features.

I have had a pleasant experience with M-Files. It has largely enhanced the smooth running, organization, and teamwork of our group with documents. The automated workflows and metadata-based system have facilitated tasks to be more efficient and fast whereas the permission controls have been used to secure data. It may also require time before new users become accustomed to its advanced features and the pricing is a factor that is a little more expensive but the benefits in productivity and organization are far much better than these disadvantages. I would suggest it to the teams which require a stable and efficient document management system.

Pros:

I preferred the most the efficiency with which M-Files manages documents by metadata rather than folders. This makes file searching and retrieving very rapid and precise. The spreadsheet functions that are automated like the version control and the workflows have assisted in streamlining processes and saved us time as well as the errors. Moreover, the user-friendly interface and the safe permissions allow easy and carefree collaboration in terms of the platform. With such features, our team has become significantly more productive and managed its data.

Cons:

The major limitation that I came across is that the learning curve may be very high to the new users, particularly on how to establish the workflows and also tagging metadata with the metadata tagging tool. Certain higher capabilities need further instructions or practice to use. In addition, its prices are also more expensive than other document management tools, which others may consider an issue when it comes to small groups or businesses with a tight budget. The experience could be even improved by several more tutorials or onboarding materials.

Reasons for switching to M-Files

Our information sharing was enhanced by switching to M-Files using Confluence which grew to be ineffective as we needed to manage our documents better and lower the chances of document mismanagement. The metadata in m-files is more organized, more secure and has more search features hence it is simpler to manage, track and collaborate on documents by our team efficiently.

Pros:

The simple integration with Microsoft SharePoint Online provides businesses us with quick and easy access to the software. It also works seamlessly with the SharePoint app on mobile devices. Its unique selling point remains the network drive, which other products don't offer. The team behind M-Files is very innovative and hasn't stood still. Its reliability and security ensures that important business processes never come to a standstill.

Cons:

Everything I didn't like was resolved with fixes in the new version. Thanks to close contact with support, these issues were quickly resolved.

The storage space on a free account for Box was a bit low which was my major concern.

With M-Files, users can store and synchronize files or documents online.

Using M-Files was the simplest and most cost-effective solution. Once it is setup, it's easy to use and completely sufficient for our day to day operations.

Seamless integration enables smooth and hassle-free collaboration. It makes it easy to edit and share files. Allows users to securely and easily share files and folders with others both internally and externally. I also like using the automated file backup features: documents, images and presentations are saved as they're being edited. The ability to share folders with specific teams/departments is also useful for us.

Cons:

Sometimes M-Files can't save a file properly, for example, if the internet connection is temporarily unstable. Fortunately, it then creates a second version of the document instead of automatically overwriting another user's version.

Reasons for switching to M-Files

I didn't not like how confusing some of the folders were for OneDrive. The storage limit was also a problem.

M-Files comes with an intuitive and user-friendly interface that makes it easy to use and navigate. M-Files powerful search feature allows me to find files and documents quickly. It is simple to manage documents more efficiently using M-Files. Finally, I can easily share documents faster and securely using M-Files.

Cons:

M-Files meets all my document management expectations thus I lack anything in particular to dislike.

Getting started with M-Files is quite easier and faster compared to it's alternatives. Again, M-Files offers a variety of features and functionalities.

I like two features of M-Files.. 1- AINO (Chat with the document) 2- IML (Intelligent Metadata Layer) to search the documentsn other repositories with leaving the interface of M-Files.

Cons:

There should be built-in reports and M-Files web and should support the widgets like M-Files Hubshare

Other products were very costly and also we were looking for the solution which user cam adopt immediately.
