The ease of use and the constant push towards innovation. The QuickBooks integration is super handy and sending an invoice straight from Portal is fantastic. Also, the support Chat is always very quick and resolves most issues in a timely manner.

Cons:

I feel like editing products could be easier. Also, editing the pricing of products or services could be more fluid.

We’ve been using Portal for over 10 years, and it just keeps getting better. The software has become an essential part of our business — proposals, invoicing, and client management are all seamless and professional. The user interface is simple and intuitive, making it easy for our team to work efficiently. The support team is fantastic — always responsive, friendly, and quick to solve any issue. Glad we made the change to Portal

We have used BidMagic in the past and really liked it. Exposed to Portal at CEDAI and haven't looked back yet. It's hard for me to believe this, but I swear that we are getting more accepted jobs since using Portal. Glad we made the change....

Cons:

Sometime the vendor costs that are shown are incorrect causing me to have to go to the vendors' website to confirm. Sometimes difficult to locate older, archived files in Portal

The only proposal software you should use

Fantastic experience overall! Portal makes proposals easy, professional, and fast. The team behind it is top-notch and truly cares about user feedback. It’s rare to find software that checks both the “functionality” and “customer experience” boxes this well in our Custom AV industry.

Portal has been our saving grace for project proposals! The platform is easy to use, intuitive, and packed with helpful features like audit logs and more. The team is constantly rolling out improvements and genuinely listens to user feedback. Their support is second to none—and they fully embrace the use of emojis and GIFs, which makes every interaction that much better! It’s one of the few companies I actually enjoy reaching out to, whether to discuss new features or resolve a small hiccup.

Cons:

No major complaints! Like any growing platform, there’s the occasional small bug or tweak needed sometimes, but they’re always quick to resolve it and communicate openly.

From Proposal to Payment, Portal.io Streamlines the Entire Process

Portal.io has become a core tool in our business. It’s fast, accurate, and continues to improve with useful new features. While we’d love to see CRM and project management added in the future, Portal.io already covers the most critical parts of our workflow better than anything else we’ve tried.

Portal.io is extremely easy to use and makes generating proposals quick and accurate. One of the biggest strengths is how well they keep vendor and retail pricing up to date, which gives us confidence in our job cost and profit estimating. With the addition of invoicing and payment requests, we love that we can now run the entire workflow — from system design and quoting all the way through collecting payment — all within one platform.

Cons:

The main thing Portal.io is missing right now is a built-in CRM and project management features. While the proposal, estimating, and invoicing side is excellent, having CRM and project tracking in the same platform would make it even more powerful.

Reasons for choosing Portal

While considering Portal.io, we evaluated Projx360. We found Projx360 to be overly complicated, more time-consuming, less intuitive, and not as seamless with QuickBooks Online. It was also more expensive, which made Portal.io the clear choice for our workflow

Portal is a great proposal platform for companies that need an easy way to create effective, great looking proposals. The customer support is fantastic and works quickly to resolve any issues.

Cons:

Sometimes pricing isn't updated quickly. Its always a good idea to check pricing these days since it changes so often, and it would be difficult for Portal to know every dealers special pricing tiers.

Xten AV looked promising, but did not have the workflow that we needed.

d-Tools cost a lot for additional users. There were too many features that we did not use in d-Tools. Portal met all of our needs without the additional cost of unused features.

Our top choice

Nothing compares to how easy this software is to use, I’ve used D-Tools, D-Tools cloud, iPoint, ConnetWise and Smart Office and they’re all a pain. Portal.io is by far the better choice for our company.

How easy it was to learn and how fast we build proposals and invoice. Most, if not all of our clients tell us ow much they love how the proposal's look when they get an email.

Cons:

It is a new company, there are many features still in the works. That being said, Portal.io as a company has been very engaged with us on how they can better continue to improve.

Better Proposal for a Better Price

Great--the finished proposal makes the pricing more "official" and therefore less negotiable. We don't use the point of sale or other functions as those bases were already covered.

It gave our company a uniform proposal system that looks very professional for a price that can't be beat. Company has been responsive when I had questions about "how to?" although the video training is fairly comprehensive.

Cons:

They should make the labor amounts float with a user-generated margin. Simply assigning $1500 or a percentage of hardware leaves too many gaps. Catalog has a lot but impossible to have everything--the process to add a product is cumbersome...not awful.

Pros:

Portal has been an absolute game-changer for my business. The platform is fast, easy to use, and incredibly reliable. Managing customers feels effortless, and everything runs smoothly without any glitches. I love how organized it keeps my workflow, and the customer support has been top-notch whenever I needed help.

Cons:

None so far. Most things I would like to do is included with their services. The only downside would be with tiered pricing.
