About Collabor8online

Collabor8online is a cloud-based collaboration tool that allows users to upload, share and edit documents using virtual data rooms. It is suitable for midsize businesses, particularly construction companies, architecture firms and contractors.

Collabor8online allow you to share your documents with as many users as you like and you can create as many projects (folders) as you like. Effectively giving you unlimited projects and unlimited uses for one fixed monthly price.

Collabor8online provides users with data rooms that can be used to share files and collaborate for as long as the data room is required, and then the data room and all shared files can be taken down.

Administrators can control which users are allowed to view, edit and share content, as well as who can view file recipients and collaborators. An audit trail feature lets users know who has made changes to a document and when the changes were made.

Support is offered through online articles and over the phone. Pricing is per system per month.

Brilliant

I have had a brilliant experience with them the training was fantastic and ongoing support has been excellent and they are always willing to take on feedback to help improve the tool

Pros:

Competitively priced as they don't charge per project or by the user like many other tools. Brilliant customer service everyone's in the UK.

Cons:

Would like to see RFI management in this system. Apparently they're working on that at the moment.

Reasons for choosing Collabor8online

Essentially cost was a key factor for me as these are the tools were expensive and I didn't need some of the features that I would've had to pay for. Also they price per project and Collabor8online is not structured that way.

A " works right out of the box " solution to Document Management with great support.

Overall experience is excellent, I created a folder structure that I was familiar with, migrated the documents into the system and added my users. I set up their permissions and was able to use this program immediately, it had a great interface and support was right there. Training was great! Due to Covid and distance virtual training was used. It made no diffference in the support I received. The users from the previous program did have some adjustment issues using the program initially. It was similar but not the same as the one we had been using for 6 years. I was able to assist them easily.

Pros:

The set up was easy. The navigation was easy. Everything you need is all on one screen. Migration of current documents took time, but being able to see them upload and then have an instant audit of the documents was great! The collaboration tools are a MUST have and they are so easy to use. Email notifications with links to all important sections of the program makes it easy to view a folder, a document a whole project with one click.

Cons:

There were some differences with this product I did not expect, a date format that I hadn't seen before. A little more customization with being able to send out documents to groups of people not associated with the folder or project.

Reasons for choosing Collabor8online

I liked the look of the product from the free trial. It was easy to use and allowed me to create a folder structure I knew my users could handle and the fact I could create that structure in less than two hours with almost no assistance was the best!

Reasons for switching to Collabor8online

The program I had been using was going to be unsupported and discontinued, they advised we move to another program and migrate the documents.

the first few months like utilizing any new software, was not quite as we had be presented the software, however there have been some considerably improvements and i would consider how the system works now is how it was presented.

Pros:

storage and access to teh current design information is made available to the whole team.

Cons:

the navigation can be a bit clunky at times, although this has improved of late. unable to markup drawings on teh site.

this was our first document managements system and as a growing business we felt this was the right entry level for us and our current processes
