I like that it is web based so all employees are able to access the information without having to go to file cabinets and look at the files. Everything is updated in real time which is a positive for us too.

There are a few programming things I don't like due to ease of use but they are tolerable. The main thing is some of the date field you can enter manually but some you have to open the calendar and pick the date.

Recommendations

Mobile dispatching and in office changes to on-site technicians.

I was really excited to switch over to Fleetmatics work. We use Fleetmatics Reveal for our fleet tracking and have loved the service so when the salesman talked to me about their work program it seemed like a great fit. Unfortunately this ended up being a horrible experience. It took them months to do the customer integration then when we got the program they somehow uploaded all active and in-active- inventory, items, services, customers. They sent me to a guy who tried to fix it but I ended up having an office person spend 2 weeks cleaning it up. We got it all squared away started scheduling work and dispatching technicians the first month we completed around 450 jobs. When we went to bill them the integrator into QB wouldn't work so we called the tech line multiple times and they tried to fix it the tech couldn't get it to work so he told us just to do the invoices manually. I had an office person go through all the job cards and create and re-write 450 invoices. The next month after it not working and spending a bunch of time on the phone with techs we finally got it to send the invoices to QB. Then I noticed it actually created all new line items but with the same name so when I pull a p/l report everything from Fleetmatics Work is now uncategorized income and it wont even let me fix it without deleting the invoice and creating a new one. So now I can see the income between the different crews. I could go on and on the bottom line is my interaction has not been pleasant. I called to cancel and they called me back and left a message saying they have denied my cancellation request.

Recommendations

Here is my recommendation if your business has any of these things then the way the scheduler works it won't work for your business:

-If you schedule more than 40 jobs.
-If you have a customer that has multiple properties but 1 billing.
-If you are scheduling reoccurring services.

Other problems
- when you invoice you can only batch over 1 customer at a time.
--It won't invoice properties with multiple sites. The invoices all move transfer over as one site
-The crew cant really see if there are any special instructions on a property unless they scroll through the work order and click open up special instructions.

Website interface is alright. Customer support, though unable to answer your questions or provide meaningful responses, answered relatively quickly and had a great accent. Product is not too hard to use.

Lack of meaningful support, impossible to reach, fails to meet every single agreed performance deadline and has no compartmentalization of data. Everyone from our lowest level guy sweeping floors to our highest level executive would have the same access to even the most confidential customer information. And good luck trying to cancel once you've signed up.

Recommendations

Be sure they don't mind having a low level employee sell/steal their customer database.

I like being able to see the trends and tendencies of drivers and find them at all points of the day, particularly for storm damage or emergency services required.

The inability to accept responsibility for services sold and not acquired. In the beginning we dealt with three sales people all trying to get us onboard, at anytime I could call and they would answer, over time if we had issues they virtually steered us in all directions and it became an energy vampire!!!!

Recommendations

Research the industry, find referrals and other companies to compare to, don't settle for high pressure sales.

The ability to dispatch jobs to our employees and for them to be able to make notes about their jobs. The ability to keep timecards for our employees...big plus!!

No notifications for jobs that need invoiced. We have let billing for jobs fall through the cracks because there is nothing on the software indicating that something needs invoiced. We don't invoice through the software so I had to make up a status icon so that I can tell if we invoiced or not. This has helped a lot but it would be nice to have a notification page or dashboard showing jobs that are completed but still needs invoiced. Also it would be nice for helpers to clock in themselves without having to pay for another user.

Recommendations

After looking at a lot of other service softwares myself recently, Fleetmatics has a lot of great features. There are none out there that has EVERYTHING you want although that would be very nice.

The technician dispatching part of their software looks like it might be good.

Very Misleading! We were promised a digital contract that would be click and fill, similar to a pdf form. What we received was a list of all the boxes that would be on the contract. After you fill in the list it would turn into a contract. In this list was also the customer initial and signature boxes, the customer would be required to initial and sign before seeing what was on the contract.

Recommendations

Advice from one business owner to another, get everything you discuss in writing. That way when they do not deliver on what is promised you have a possibility to revoke the contract.

Not flexible - cannot change/customize the default forms. Cannot share client equipment infomation with the client, only can share the job and invoicing data. Default answer when going to about customizing - not possible at this time but will review on further updates. If you plan to use the system the way it has setup - it might work for you, if you try to tweak it to fit your business model - forget it, you will be having to "make do" for functionality. Not able to adjust the dispatch messages to fieldworkers to suit needs. Equipment list - cannot sort, they remain in the order entered and cannot remove values that do not relate to our business

They motivate you to sign up with as many users as possible because you are then locked in for a year at those numbers. Good news is that you can add and remove users at anytime as long as you always keep the users you selected. Be smart, sign up with just 1 user!

It really is a great software. I learned a lesson to not use a software that has a contract. Good companies will tell you that the service and costs should be good enough to keep the customers, not lock them in.

They were very enthusiastic to get my company to sign a contract with them, all departments worked hard to get me to pay on time, for their product.

While I am a small company, I wanted to try to get my staff on a schedule, where I can track their work hours, payroll, teams, equipment and supplies. The software need a special person to sit there on every job and type in every ounce of information needed. It was time consuming, and not accurate.
I tried to cancel within the first 60 days of the contract, they finally answered after 2.5 months, that they cannot cancel my membership, and I will have to pay for 5 users for 13 months (only had 2 using it), as that was the original contract they had prepared. Now, I am not using the software, and still have to pay the monthly fees. You cannot get out of their contract.

Yet they want you 90 days prior to the 13 months to let them you know if you want to renew. But they do not have the option to test the software to see if it is a fit with your company. I do not recommend anyone to try fleetmatics, unless they can afford the loss.

They also request you have 5 people to use the software, or terminals if that is what they call it. Only my field supervisor and myself were using it, and charged for 5 people :(

Recommendations

You need to give a trial period prior to the contract, 60-90 days. Allow all parties, admins, field workers, supervisors, ... to see if they can manage and work the software to insure satisfaction to the company, not just financial satisfaction to fleetmatics. I do not recommend anyone to go with them, unless you write your own contract.

The scheduling capabilities. If I have a guy off sick it’s easy to log in see what stage the job is at and the information attached rather than it being in somebodies head. It just becomes easier to manage the job. We should have done this 5 years ago…

You have to test the suitability. Don’t just read what’s on the website. Download a copy and actually sample (you’d be an idiot not to do that really) and obviously you would have to do multiple products to see which one most suits and obviously weigh up the cost factors.

I like the fact that it’s made business easier. Fleetmatics provides us with real time visibility of all our jobs. I know what’s going on at any given moment and if customers call needing to know the arrival time of one of our field workers, I can log into Fleetmatics and see what stage they are at from their previous job and provide them with an approximate arrival time. Fleetmatics allows us to bill customers for exact hours worked and we can record notes on the job which can be used to email through to clients at the time of invoice.

We have a very different business to a lot of people. We have a many little pieces of inventory to track and a numerous job sites. I don’t think there is any bad things, just niggles as there is with everything.

Recommendations

Have patience. You have to look at the software properly and not just at the templates that you get. Think outside the square because with Fleetmatics it does so much more than what I initially thought it could which has benefited our business.

We can dispatch jobs to our field teams and instantly provide them with all the information they need. When the job is complete and all notes and photos have been uploaded into Fleetmatic’s it can then be immediately invoiced from the office. It frees up a lot of our admin staff to do other things instead of wasting time with double data entry and phone calls.

There are a couple of features that I would like that aren’t in there but would be nice to have. I guess one would be progress payments. I haven’t found a smooth way to do that. It’s definitely better than what we use to do it anyway.

I can’t stress how beneficial it is to my business, so I can’t see how it wouldn’t be beneficial to similar businesses. You don’t need an IT expert to run a cloud based system where as with a server and those type of systems you’re always relying on third parties to keep your business operating. So my advice would be just to dive in and do it.

We have many customers and multiple work sites and at random a customer will call requesting either a job completion date/time record or a report for work we have done. With Fleetmatics I am able to log in and pull information for the customer irrespective of when the job was. We also have sub-contractors who work for us and Fleetmatics allows me to enter them into the system and dispatch jobs to them too.

Currently with Fleetmatics you can see how many jobs you have each day in the month scheduler but I would like to have a drag and drop option on the monthly schedule viewer similar to outlook where you can also see a brief description of the job i.e time, location etc.

Recommendations

Sit down and write the specific requirements that you need because there are a lot of similar systems out there and not all of them will meet those needs or they may meet them in different ways. Normally there are five key points you want the system to do and writing those down and working out exactly what you want the software to do was is beneficial.

I like the fact that it’s a cloud based, it’s very live and any changes and interaction that happens is instantaneous and received by all parties that are using it. It can become a little communal office note pad for particular jobs. It’s got a lot of customization levels and the reporting system is really good. The fact that it is mobile friendly for the field workers is really cool. There are very rarely any duplicate jobs now. If there are any discrepancies, we now have data and history. If something gets entered into the system we can see very clearly it is in the system; there’s accountability.

And the most pivotal thing was getting that cash flow – that rhythm and that procedure back.

The app itself for the fieldworkers is great, it’s really good but the lack of having an admin app is painful and then it does tether you to your office. In a situation where you don’t have that space to sit down and pull out your laptop then you’re kind of stuck.

Recommendations

Set up the platform properly in your initial stages and of course you can always modify as you get more familiar with it but take the time to do it in depth cause once you have it established you’ll make your life a lot easier.
