About Versatile Enterprise

Versatile Enterprise is a content management system (CMS) capable of managing the lifecycle of physical and electronic records. Key features include document and electronic record management, retention scheduling, audit control and multiple language options.

The retention scheduling feature enables users to create comprehensive document retention schedules, configure classification codes, track active and inactive records and calculate retention dates. The audit control feature enables users to track historical changes to documents, restore records and documents after unwanted changes and generate brief reports for an audit trail.

Versatile Enterprise's electronic records and document management function allows users to manage all types of electronic records including emails. Users can copy, paste, drag and drop documents. Users can also store their emails, which they can retain completely or only keep select parts.

The solution comes with multiple language options, which enables users to capture the data in any language and customize the software interface in their preferred language.

Versatile Enterprise and Imaging Module Review

Versatile Enterprise assists us in managing our information. We can quickly locate the information we are looking for and get that information to the correct person saving time and money. We run annual notice of destruction reports so our departments can quickly pull those files up for destruction or transfer their historical information to the University Archives. We manage our retention schedule in Versatile Enterprise as well. Versatile Enterprise is a complete records and information management software package.

Pros:

We started using Versatile in 1995 and as our Records and Information Management Program has grown, Zasio Enterprises had the software products to grow with us. We have been using Versatile Enterprise from Zasio Enterprises along with the Versatile Imaging Module for many years. Versatile Enterprise allows us to manage our records and information from cradle to grave in all formats following the information lifecycle. We manage our active records, inactive records, retention schedule, images, etc. I cannot say enough good things about the Versatile Enterprise software, the technical support, the entire company. They have been awesome to work with.

Cons:

I cannot think of one thing. Versatile Enterprise allows us to manage our information (paper files to scanned images to electronic records) and retention schedule all in one product.

Opinion From a Long-Time User

We started using Versatile software in 1992, and have used it continuously since then, except for a few years around the Y2K ocurence when our I/T group wanted to switch to ensure the continuity of our operations. The entire group, from the president to the technicians to the office staff, has been very accessible and extremely helpful. They seem to actually care about our company's successful use of their product.

Pros:

Versatile Enterprise is easy to use and learn. Being intuitive and user friendly is helpful when trying to train our end-users on its structure & functionality.

Cons:

Certain parts of the search module, such as the date range fields, are a bit confusing at first. And it would be helpful if you could paste lists of item numbers when running reports rather than having to enter each one individually.

Loss time prevention

OK product for storage usage, however not very efficient for Document Control or Document Change Management.

I used Versatile Enterprise for many years and through many upgrades. This software evolved with the changing times, laws and needs for our application. We used this software to manage most of the state government records at many different levels, from birth to destruction. We never had any issues and the management of our records always had a complete audit trail through this software.

Excellent features, ease of use and navigation. Full complement of interrelated functions that provide the best opportunity to control and manage institutional records to the letter of the law.

Cons:

There was nothing equally as good to compare it to. Even attending industry conferences and reviewing other software, I found nothing that could stand up to Versatile's standards. So from my perspective, we had the best. As hard as I searched, tested and tried, I could not find anything that I disliked about the software.

Pros:

The design is intuitive and it can handle a wide variety of tasks. They have built in a lot of flexibility to allow agencies to customize the system for their needs (e.g., user-defined fields, multiple options for organization structuring, customizable security profiles, etc.) Great web tool and mobile records-on-the-go app make this a convenient solution.

Cons:

We've had some problems with the system crashing, but were able to get great desktop support to figure out the problem.
