Productivity in Uniqueness

So far, so good. Wiplist has a unique design and workflow that takes some time to get used to, but once you do, it becomes a very effective tool. The real-time updates make collaboration seamless, and it keeps everyone on the same page without constant back-and-forth messaging. It’s a bit of a learning curve at first, but the productivity boost makes it worth it.

I really like how Wiplist makes project management easier with its real-time updates. It’s smooth and responsive, so I can track progress instantly without refreshing or switching tabs. It also feels modern and different from other project management tools, which makes it stand out.
Cons:
Because it’s so unique, the user experience can feel a bit unusual at first. There are no clear guides or tutorials, so you have to figure out how to use its features on your own, which can slow down the learning process.

Reasons for switching to Wiplist

I made the switch from Trello and Monday.com to Wiplist because I wanted something that felt more dynamic and adaptable to my workflow. Trello is great for simplicity, and Monday.com offers a lot of structure, but Wiplist combines the best of both while adding unique features like real-time updates, customizable templates, and a smoother way to manage multiple projects in one place. It also feels more lightweight and faster in terms of responsiveness, which is important when juggling tasks. Even though it has a learning curve, once I got used to its unique interface, it proved to be more efficient for my needs.

Cons:
the activity section can become a bit like your email - a bucket of to-do's that go on forever and get lost....

Great intuitive product that doesn't cost the earth!

It’s both intuitive and aesthetically pleasing, combining seamless functionality with thoughtful design. Cons:
It needed to deliver significantly more in terms of its capability—particularly around resourcing, schedule management, and timeline creation. The existing functionality was too limited to support the complexity and scale of modern project demands. There was a clear gap in how effectively it could allocate resources, manage dependencies, and adjust timelines dynamically. Teams require tools that not only visualise a plan but also adapt to real-time changes, accommodate shifts in availability, and streamline collaboration. To be truly effective, it had to go beyond basic planning and offer a robust, flexible system that could support end-to-end project delivery with confidence and clarity.

Reasons for switching to Wiplist

The reason I used Wiplist was simply because it was the platform the company had chosen to adopt. Left to my own devices, I wouldn’t have made the switch from Streamtime, as I found it far more intuitive, reliable, and better suited to my workflow. Streamtime offered a more seamless experience, particularly when it came to scheduling, resourcing, and time tracking—it just worked. Transitioning to Wiplist felt like a step backward in terms of functionality and user experience. However, I adapted because it was important to align with the broader team and maintain consistency across the company’s project management systems.

Excellent Design project management software

Wiplist is very easy to use because of it's fantastic user interface. Onboarding is quick and painless. Reporting is great and time tracking is excellent.
Cons:
As easy to use as Wiplist is, some designers in my team struggle to see how much time is allocated to a task that they have been assigned.

Would Recommend but some features need updating

It's much better than the old software we used. I like the layout and most of the features. We don't use everything available but it does everything we need.

The Estimate to Invoice features work really well We use scheduling every week to plan our designers time and that's super useful All the tracking and report views prove helpful
Cons:
The Project Overview table within a project is annoying. I have a preferred layout for these tables, but it doesn't carry across all projects, so when there are over 300 projects that I look at, it's annoying to have to set a default for each. Being able to have some line items as billed and some as retainer would be useful. Sometimes when moving time around in the schedule it does a weird 5 minute interval which offsets the rest of the day. Some of our designers have responsibilities each week that remain the same time and day. It would be good if this could be pre-populated. Logs me out regularly

To address some of the feedback: - The latest update to the project overview table, admins can set a default so might be good to speak with your internal administrator to get this resolved - We were advised of a similar bug in the Schedule feature which should have been resolved. - Logging out, we completely understand this can be frustrating but it's a result of security protocols which might include inactivity, a feature release and sometime a drop in internet connection. I'll pass on your feedback about reoccurring tasks and see if that is something we can include in our roadmap. If you want any help with the table default, feel free to send a message via the chat function and we can set this up.

Perfect organisation tool for creatives.

I've been using Wiplist for a few years, I love that there are so many different things I can do, like templates for quotes, pricelists to make quoting quicker, and notes on my supplier contacts.

Wiplist is perfect for me as a sole trader because I can keep track of my projects, quotes and invoices all in one place.
Cons:
I like to give my regular clients special prices on certain products. There's a discount function on Wiplist, however calculations need to be made manually and then they don't display properly on the client invoice. My other issue is that I sometimes invoice through Paypal for credit card payments. With Wiplist, GST is calculated at a different point than what Paypal does which means that the final price on the Wiplist estimate differs to the Paypal total.

The multi-functional production platform

Since its inception, the platform has made leaps and bounds in terms of capabilities to tailor it to our growing needs. We are really please with the platform overall, as well as its UX and aesthetic.

Wiplist as a multi-functional production tool allows the team to work across multiple projects - scheduling, cost tracking, estimating and timeline tracking with ease, along with reporting as a business tool.
Cons:
There can be a few bugs - which is understandable is start up phase. Ideally we could also add Callsheets to the capability which links to the deal memos / PO's sent so we can track the crew on set too. And send live callsheets to each member (like studio binder).

A fundamental business tool that we can't do without. Since the early days there's been numerous and gradual updates and improvements. It's a joy knowing that this software improves with every iteration. This is a pivotal piece for our small businesses operations.

Once you get the hang of it. It makes everything easier. I love how easy it is to put together complicated estimates and proposals.
Cons:
Font styling is an issue. The body of the parts need the ability to create better information hierarchies. Also duplicating Parts would make it so much more convenient and save time. This was a request I placed and I believe it will be implemented at the end of the year. The adding of tasks and timesheets is still very tedious, not sure how to make this less so though.

Reasons for choosing Wiplist

We considered lots. I actually cant remember which ones ast it was over 5 years ago. Just put Myob, because it wouldn't let me put 'I don't know. Seemed more suited towards a creative business and at the time was cost competitive.

Does everything I need it to; perfect for my studio.

Largely very positive. It's stable and dependable. The developers are open to hearing from me with errors and suggestions - sometimes they take it on and can provide my requested functionality, sometimes not.

It provides all the functions I need to estimate and expense work projects, track time, and generate invoices; in short, this side of accounting software, it provides all the administration functions I need for day-to-day work.
Cons:
Like any app of this nature, it has its workflow ways; sometimes they're not exactly how I'd like to work, and requires some adaption on my part to my workflow. So be it.

Alternatives were any number of dearer, less focussed or required a completely different workflow.

Reasons for switching to Wiplist

Not really a switch; this is the successor to that product. I looked around at alternatives at the time, and this was clearly still the most appropriate for my needs; plus was able to import my old data fairly cleanly.

Wiplist my Studio Go-To

Really good, the team were a great help and always try to do the right thing in a timely fashion. It has been a very trustworthy program and I had to team in the back end of been doing their best. I love it.

I've been running my studio for 30 + years and have been using Wiplist since its inception, pretty much. It handles my studio and staff tracking and planning needs
Cons:
The beginning support was great with the personal connection direct to support staff, but as the company grew, support became a bit inconsistent. Time to wait for them to get back to me via email only, there was no support chat, video how tos and documentation.
