Our Analysis of Deputy's Pricing Plans

We've conducted a comprehensive analysis of Deputy's workforce management pricing plans to help you determine which option aligns best with your business needs. By examining the features, benefits, and limitations of each plan, we aim to provide you with the insights necessary to make an informed decision. Deputy offers four distinct pricing plans: Scheduling, Time & Attendance, Premium, and Enterprise. Each is designed to address specific w...

orkforce management requirements, from basic scheduling to comprehensive staff management solutions. **Scheduling plan** The Scheduling plan is Deputy's solution for businesses primarily concerned with employee scheduling and roster management. Priced at $4.50 per user per month (billed monthly), this plan provides essential tools to streamline your scheduling processes and improve workforce planning. **Pros:** - **Streamlined scheduling tools:** The plan includes intuitive drag-and-drop scheduling, allowing managers to create and adjust employee rosters quickly and efficiently. - **Auto-scheduling capabilities:** Automated scheduling features help optimize staff allocation based on availability, skills, and business requirements. - **Mobile accessibility:** Employees can view their schedules, swap shifts, and receive notifications through the mobile app, enhancing communication and reducing no-shows. **Cons:** - **Limited time tracking:** The plan lacks comprehensive time and attendance features, which may necessitate additional solutions for businesses requiring detailed time management. - **Restricted reporting capabilities:** Users have access to only basic reporting tools, potentially limiting insights into scheduling efficiency and labor costs. - **Minimum monthly spend:** Despite the per-user pricing, businesses must meet a minimum monthly spend of $25, which may not be cost-effective for very small teams. **Time and Attendance plan** The Time & Attendance plan focuses on tracking employee work hours and managing attendance. At $4.50 per user per month (billed monthly), this plan includes tools designed to record time worked accurately and streamline payroll processes. **Pros:** - **Versatile time clock options:** Employees can clock in/out through multiple methods, including kiosk mode, mobile app, or web browser, providing flexibility for various work environments. - **Geolocation verification:** The plan includes location-based verification to ensure employees are clocking in from authorized locations, reducing time theft. - **Payroll integration:** Seamless integration with popular payroll systems helps eliminate manual data entry and reduces payroll processing time. **Cons:** - **Basic scheduling functionality:** While the plan includes some scheduling features, they are not as robust as those in the dedicated Scheduling plan. - **Limited employee management:** The plan lacks comprehensive employee management tools that might be necessary for businesses with complex workforce structures. - **Minimum spend requirement:** Like the Scheduling plan, the $25 minimum monthly spend may be disadvantageous for businesses with very few employees. **Premium plan** The Premium plan combines all features from both the Scheduling and Time & Attendance plans, offering a comprehensive workforce management solution. It costs $6 per user per month (billed monthly) or $5 per user per month (billed annually). **Pros:** - **Comprehensive feature set:** Users gain access to the complete range of Deputy's core features, including advanced scheduling, time tracking, task management, and communication tools. - **Employee engagement:** The plan includes Shift Pulse, a tool that enables team members to leave feedback (including anonymous feedback) at the end of shifts. - **Advanced reporting:** Businesses can leverage detailed analytics and custom reports to gain insights into labor costs, scheduling efficiency, and employee performance. **Cons:** - **Higher per-user cost:** The Premium plan comes with a higher price point; also, annual subscriptions require an upfront payment, which may be challenging for businesses operating on tight budgets. - **Feature complexity:** The extensive feature set may present a steeper learning curve for new users and require more time for full implementation. - **Annual subscription limitations:** Annual plan subscribers are unable to change plans during the year; they may cancel their plan, but no refunds are offered. **Enterprise plan** The Enterprise plan is tailored for larger organizations with complex workforce management needs. This plan offers custom pricing based on specific requirements and is designed for businesses with more than 250 employees. **Pros:** - **Customizable configuration:** The plan can be tailored to meet the specific needs of large organizations with complex workforce structures and requirements. - **Advanced security features:** Enterprise-grade security measures ensure data protection and compliance with industry regulations. - **Dedicated support:** Enterprise customers receive priority support and access to a dedicated account manager to assist with implementation and ongoing optimization. **Cons:** - **Undefined pricing:** The custom pricing model makes it difficult to estimate costs without directly engaging with Deputy's sales team. - **Implementation complexity:** Larger organizations may face challenges during the implementation phase due to the need for extensive configuration and integration. - **Potential scalability costs:** As the organization grows, costs may increase significantly. **Deputy HR add-on** In addition to the core plans, Deputy offers an HR add-on for $2 per user per month (billed monthly). This add-on is available in the US, UK, and Australia and provides HR tools for job advertising, applicant management, onboarding, document management, and more. **Free trial** Deputy offers a free trial for up to 31 days with no credit card required, allowing businesses to test the platform before committing to a paid plan. Users have access to all features during the free trial. **Conclusion** After analyzing Deputy's pricing structure, it's clear that the company offers a range of options designed to accommodate businesses with different workforce management needs. **For businesses primarily focused on scheduling:** The Scheduling plan at $4.50 per user per month provides targeted functionality for roster management and shift planning. This plan is ideal for businesses that already have separate solutions for time tracking and payroll processing but need to optimize their scheduling processes. **For businesses prioritizing time tracking:** The Time & Attendance plan at $4.50 per user per month offers robust time clock features and payroll integration. This plan works best for organizations that have simple scheduling needs but require accurate time tracking for payroll and compliance purposes. **For businesses seeking comprehensive workforce management:** The Premium plan at $6 per user per month (or $5 when billed annually) delivers the best value by combining all features from both specialized plans. This all-in-one solution is particularly suitable for growing businesses that want to consolidate their workforce management tools and gain access to advanced reporting capabilities. **For large organizations with complex needs:** The Enterprise plan with custom pricing provides the flexibility and scalability required by businesses with more than 250 employees. The customizable nature of this plan makes it appropriate for organizations with unique workforce structures or industry-specific requirements. When selecting a Deputy plan, businesses should consider not only their current workforce size and management needs but also their anticipated growth and future requirements. The $25 minimum monthly spend requirement is an important factor for very small businesses, potentially making the per-user pricing less advantageous than it initially appears. Additionally, organizations in the US, UK, and Australia should evaluate whether the HR add-on's features justify the additional $2 per user per month. By aligning your business requirements with the appropriate Deputy plan, you can optimize your workforce management processes while ensuring a reasonable return on your investment in the platform.

Pros:
Detailed functionality makes it ideal for most aspects of managing staff scheduling, timekeeping, and outputting to payroll. Easy to use by employees.
Cons:
Once in a while, employees would have issues with the app, but this would be temporary, possibly to do with connectivity on the devices. Its not the cheapest option if you have a lot of staff doing few hours, as its a per user subscription I think.

Reasons for choosing Deputy

Deputy was chosen by our company. I think I preferred Deputy to use, but could switch to ConnectTeam for the value.

Pros:
Managers can see the schedule and current punch-in information, and communicate with the whole staff through the app. This allows supervisors to keep track of who is working, and quickly make scheduling changes as needed.
Cons:
When employee enters a punch that overlaps with a time off request, the kiosk doesn't log the punch or notify the employee that there is an issue. This can be frustrating when, for example, an employee returns early from a doctor's appointment, thinks they have punched in, but their supervisor finds out when approving timesheets that the punch was not logged.

To be clear, Deputy is a lower-cost platform. We also selected this platform in a time crunch, so some of the things we've found most challenging would likely have been discovered in a due diligence process had we had more time. That can't be blamed on Deputy. However, the support (or lack thereof) and the constant glitches that no one can explain are just exhausting and I would absolutely pay more for a system that performed this basic functionality more reliably.

Pros:
Deputy is a low-cost platform that provides a good amount of customization. As a multi-state employer, it was important for us to have timecard attestations that were customizable to ensure we were covering our bases for all State laws, and Deputy was one of the few platforms that we found that enabled us to customize that feature. There are a good amount of built-in features like State pay rules that help ensure compliance, as well.
Cons:
Deputy is built for operations with physical locations - retail, food service, etc. We learned quickly that our remote workforce across multiple timezones created the need for multiple workarounds - for example, in order to schedule our support team in their local timezone, we had to create "areas" like Support EST, Support PST and so on. This makes creating a schedule a nightmare. The customer support from Deputy is honestly some of the worst I've ever encountered. Everything is chat/email based, you can't get anyone on the phone and their entire support function is offshored, so I find myself having to explain things repeatedly, and often end up without a resolution.

Reasons for choosing Deputy

The ability to create customized timesheet attestation statements which were a requirement for our Legal & Compliance team.
