About Spacebase

Spacebase is a cloud-based lease management solution that assists real estate and hospitality firms with expense, portfolio and capacity management. Its key features include activity tracking, citation linking, data export and automated notifications.

Administrators can use the solution to group employees into teams, add users and provide role-based permissions across multiple regions. The application’s dashboard module allows managers to track payment schedules and collect lease notes or updates from team members. Additionally, its smartsearch feature helps users access section-specific links and search leases based on parameters such as dates, contacts and clauses.

Spacebase enables supervisors to track operating expenses, measure and compile capital expenditures and conduct comparisons across various portfolios. The solution is available on a monthly subscription and support is provided via phone and email.

Spacebase Review - United Airlines

Overall, I have had an excellent experience with Spacebase! The team is great to work with and the tool is very easy to use. I am still learning certain aspects and innerworkings of the system with 2025 being the first full year on the new tool. We also had a change in organization structure this year and the person that did most of the system setup has moved on to another position leaving a bit of a knowledge gap. With me now being the main point person for leases, this has given me the opportunity to spend a lot of time this year learning more of the tool. With the help of the Spacebase team, this transition has been much smoother.

Pros:

The tool is very user friendly, reports have been working well, and the customer support has been great! The Spacebase team is always very open and timely in addressing any requests or updates we have.

Cons:

-It is sometimes difficult to understand why certain entries are being done through the system and we sometimes have to do manual JVs to correct. However, some of this could be specific to the airline industry and not all a Spacebase issue. -It would also be helpful to have report writer access to create custom reports, but the team has been very helpful in creating new reports as needed. -When system updates are made, it would also be helpful to get notices as these are happening so we know if they impact anything that we are doing. -I am not sure if this is possible, but would be helpful if there was a way to do batch modifications or additions. There are a lot of screens to go through for each addition or modification so if there is any way to simplify this in high volume months, would be something to look at.

Reasons for switching to Spacebase

Company decision to move leases out of BNA since BNA was not going to continue to support and update the leases module for what we needed. Also looking for better reporting functionality and more efficiencies to gain out of the new tool.

The thing I like most about Spacebase is how easily it organizes out rental leases and contracts and allows for quick navigation.

Cons:

I would like to see more AI features. Possible where it can scan a contract in pinpoint key data and allow you to set parameters.

I find it to be very user friendly and easy to navigate. The functionality is great.

I would like to see a little more flexibility in the reporting. We are on a fiscal year of July 1 to June 30th and I would like to be able to tailor reports such as rent forecast to our fiscal year calendar.

10/10. My Boss, the [sensitive content hidden], has a login but never really uses the tool. When a question about Real Estate comes up during a call, I can easily login to the tool, look up a location and read the Lease; I can get the answer during the conversation and share with my Boss who can bring it up in the conversation. Spacebase is intuitive, informative and offers quick and easy access to A LOT of information.

Ease of use! I was given a login to Spacebase a couple of years ago -- as I manage Insurance for my Company. No one tought me how to use the tool -- I was able to login and find exactly what I needed.

Cons:

That I didn't have access to Spacebase sooner! As soon as I got a login to the tool, I was able to use it.

Helpful lease management tool

Overall, Spacebase makes lease management much easier and I’d recommend it to other finance and facilities teams.

Pros:

Lease management system. Spacebase has been very useful for managing our company’s office leases. I can easily track lease terms, monitor payments, and generate consolidated reports for multiple offices. The platform centralizes all lease documentation, which saves a lot of time and reduces errors.

Cons:

It would be helpful if reporting could be slightly more customizable, but overall, it’s a reliable tool that I would recommend to other teams managing multiple leases. Such as option to show local currency for all leases vs selecting the local currency one by one.
