MaintainX has been a essential minute by minute tool for managing our multi-location operations, and I want to highlight how great and supportive [sensitive content hidden] has been throughout the entire process. He has taken the time to understand our workflows and has been extremely responsive in helping us get our reporting and setup exactly how we need it. He's shown me so many cooler features and hacks to help me manage my 50+ site flow. What I like best about MaintainX is how easy it makes it to track, assign, and follow up on maintenance tasks across multiple locations in real time. The interface is user-friendly, and the ability to attach photos, documents, and comments to each request helps ensure clear communication and accountability. I also appreciate the customizable checklists and the flexibility to set recurring tasks or preventive maintenance schedules, it really supports staying proactive rather than reactive.

Excellent experience. [sensitive content hidden] are awesome to work with. If we didn't have these two we would have more than likely went with a less expensive platform.

Easy to use. Excellent customer service and support. We get great data now that we were getting before. It is very secure. We can create excellent technical procedures. Parts is great to include price. Excellent MaintainX support and management team.
Cons:
It would be nice to have a separate catagory for PM's. I would like to see only PM items and not all workorders. Having a separate PM schedule would be great.

[sensitive content hidden] was the sole reason we went with MaintainX. We could see the difference in the customer support when she came on site. Without her we would have went with the cheaper competitor option. Her work has been excellent. She also has a great team that has been excellent to work with.

Reasons for switching to MaintainX

We were using a home built system. It never would work correctly and we had limited support. We were not able to get the data that we needed to improve.

Easy to use and maneuver the website. We can load lots of important information into MaintainX. We are learning how to utilize the Reporting features and it appears it will be beneficial to the company.
Cons:
Transition from the previous CMMS system we were using to MaintainX has been a bit rough. It seems the information we need could not be easily imported to MaintainX so the transition has not been seamless. It has and continues to involve a lot of work.

Hippos was ending their access/system so we had to search for an alternative system/service.

A Scalable Maintenance Platform Backed by Exceptional Support

Overall, my experience with MaintainX has been very positive. It has brought structure, visibility, and accountability to our maintenance operations across multiple locations. The platform is easy for technicians to adopt, improves communication, and centralizes documentation and history in a way that supports better decision-making. While some advanced capabilities require a higher investment, the support team makes a significant difference. My account manager and customer success manager are fantastic and always available to assist. With the new investment of the Enterprise Level, my customer success manager has spent a lot of time assisting with helping us to understand all the new functionality and with data pulls, reporting, and navigating more complex needs.

What I liked least about MaintainX is that many of the features and reporting capabilities needed for larger, multi-site operations require a significant investment in the Enterprise level. To fully customize workflows, gain deeper analytics, and achieve the visibility leadership expects, you have to upgrade well beyond the base plans. While the platform is strong, the cost to unlock the functionality needed at scale can be a barrier.

The overall experience with MaintainX has been great. We are miles ahead of the curve when compared to our previous manual documented system. It has made our maintenance operations more organized and easier to manage than ever before.

We use MaintainX to run our entire maintenance operation across our food manufacturing facility, and overall it’s been a solid tool for keeping things organized. We handle everything in it — daily work orders, equipment upkeep, and our full preventive maintenance schedule. The mobile app is where it really shines for us. Our techs can open and close work orders on the production floor, attach photos of issues, and complete sanitation-safe checklists without carrying paper around the plant. That alone has cut down a ton of wasted time and improved traceability for audits. The ability to build checklists has also been helpful for food safety compliance. We use them for line inspections, lubrication routes, and pre-op equipment checks. Having conversations inside the work orders instead of scattered texts or radios has reduced miscommunication between maintenance and production. It feels more like a tool the team actually wants to use, not just another system forced on them. It’s not the most advanced CMMS out there, especially if you need deep inventory control or complex equipment trees, but for a busy manufacturing environment like ours, it handles the core needs well. We track critical assets like mixers, conveyors, ovens, packaging machines, and refrigeration units, and the maintenance history is easy to pull up when troubleshooting repeat failures. At the end of the day, MaintainX helped us move away from spreadsheets, paper binders, and messy communication — which was a huge upgrade. It keeps us audit-ready, gives us better visibility into downtime causes, and makes PM management way less painful. For food manufacturers looking to clean up maintenance without adding a ton of complexity, it’s definitely worth it.
Cons:
We’ve had occasional delays syncing work orders in low Wi-Fi areas of the plant, but nothing that has stopped production or caused major issues. Support has been responsive when we needed help setting up or adjusting workflows.

MaintainX is the best. I highly recommend it to anyone interested. It is a system where you get out of it, what you put in it. IF there are negative reviews, I am assuming it is because it was not used correctly and I question the reviewer.

Pros:
The Work Order Management, and Customer Support are top tier. This system helps us keep all of our projects and repairs on time and in order, plus helps us hold people accountable. The support we get from the whole MaintainX team is amazing and very responsive.
Cons:
There are not many cons. If anything, some of the individual functionally that we would like is not there but a lot of our feedback is well heard and usually shows up down the road.

Pros:
Easy to manage the Work Orders and Really advance reporting module. Easy to build custom dashboard and schedule custom reports. Interface is fairly simple and intuitive.
Cons:
There are some minor glitches that not getting able to reach to root cause. Schedule report emails are automatically getting unsubscribe. Also, there is no warning in reporting section when you are making some changes with asset and if you hit back by mistake you lose all the updates.
