Driving Structure and Efficiency Through Modern Maintenance Management”

Overall, our experience using the maintenance platform has been very positive. It brings clear structure to how we track assets, PMs, work orders, labor time, and daily priorities, which makes it much easier to manage both people and equipment. Compared to our previous system, it’s far more user-friendly for technicians on the floor and supports real maintenance workflows instead of just reporting. The visibility into KPIs and task tracking helps drive better business decisions and keeps our team accountable. While there are still areas to improve — especially stronger recording capabilities and better mobile access compared to desktop — the system has significantly streamlined our operations and made day-to-day maintenance management much more efficient.

Maintenance isn’t just work orders — it’s how I run the operation. It helps me prioritize resources, track asset health, hold teams accountable, and make data-driven decisions. With KPIs, PM tracking, and visibility into our systems, I can stay proactive instead of reactive, which ultimately makes the entire facility run smoother.
Cons:
One of my main challenges is that some of the data recording and documentation features don’t feel as strong or consistent as I’d like. I also notice a gap between the mobile and desktop experiences — the phone version doesn’t always provide the same level of detail or visibility, which makes it harder to manage things effectively when I’m on the floor.

We made the switch from Fiix and Interix because we were experiencing poor customer service and felt the platforms were no longer evolving to meet our maintenance needs. The user interface is much more intuitive and user-friendly, which has made adoption easier for our team and improved day-to-day usability across the floor.

It's been very positive. We started using it at one facility and we are expanding to all our locations. It's super direct and simple to train new technician on the work order process. It's been the shortest learning curve of any CMMS system I've used in the past.

The ease of use and how quickly our team was able to begin using the program. The account managers and support staff where great at helping get over hurdles and organize our assets. The features screens are not cluttered which makes it easy to navigate. Being able to add everyone in our company at no extra cost, as a requestor only, has been a big help. Using the automation features (AI) has dramatically decreased the time it takes to write a new procedure. We've also been able to tap into the vast library of shared procedures.
Cons:
Initially the cost, but we quickly learned is was value-added and saved us time. There is an occasional lag between the mobile app and the desktop software.

Ease of use and speed of implementation. The built in MaintainX Academy learning program had us entering locations, assets, and work orders on the first day.

Our overall experience has been very positive. MaintainX has become a central operational tool for our Logistics division. It supports preventative maintenance scheduling, work order tracking, documentation, and internal accountability across five stations and multiple service areas. It’s flexible enough for a public safety environment while remaining simple enough for technicians to adopt quickly. Implementation required intention and planning, but once structured properly, the system has improved communication, transparency, and efficiency across the department.

MaintainX has given us structure and visibility across multiple divisions — Fleet, Facilities, Air Management, and Quartermaster — all in one platform. The work order system is intuitive and easy for our team to use, which improved accountability and response times almost immediately. The asset management features allow us to track everything from major apparatus to small equipment with photos, documentation, and service history in one place. The mobile app is especially valuable for technicians in the field. Real-time updates, photo uploads, and clear task assignments reduce back-and-forth communication. Customer support has also been responsive and open to feedback. Overall, it has helped us move from reactive maintenance toward a more proactive, data-informed approach.
Cons:
Visual and layout customization options are somewhat limited. The platform applies a fairly uniform structure across all asset types, which can make it challenging to tailor workflows or data fields differently for distinct categories like fleet apparatus, facilities systems, or specialized equipment. While this keeps the system clean and consistent, more flexibility in asset-specific customization and interface layout would enhance usability for organizations managing diverse asset classes.

Easy Day to Day Work Orders and Clear Team Communication in One Place

MaintainX helps us keep maintenance work organized and visible for the whole team. Instead of work orders, updates, and notes being scattered across different places, everything lives in one system. That makes it a lot easier to track what’s been done, what still needs attention, and the maintenance history of equipment.

What I like most about MaintainX is how easy it is to use day-to-day. Creating work orders, tracking tasks, and checking maintenance history is pretty straightforward, which makes it a lot easier to stay organized. It also helps keep communication clear between the team since everything is in one place instead of spread across emails, texts, or paper notes.
Cons:
I do like the app, but it's not as clear and easy to use as the browser. In my opinion there's too many drop downs in the main hub of the app and I would ideally like it to look and feel more like how the browser does.

Honestly because the MaintainX team reached out to me really fast when I signed up for a pilot and the other company I was interested in never got back to me.

Previous CMMS was very overpriced. It was unreasonably slow and clunky and caused unecessary flow delays. The communication part of the system was very out of date as well and just overall clunky and hard to use.

I love that you are able to customize anything in MaintainX to better fit your business. I am able to track inventory, keep track of PMs and also any reactive calls to identify trends. Our account manager is beyond phenomenal and all customer support is very helpful.
Cons:
I wish that a multi-user space was available to the Premium plan like it is for the Enterprise plan.

The previous system had ineffective tracking and logging, which consumed excessive time. Reporting was poor and difficult to interpret. Consequently, we experienced increased machine failures, inventory shortages, missed preventative maintenance tasks, and an inability to identify key trends.

This software has been a gamechanger for us. We previously managed all maintenance tracking manually. Now we have everything in one place and can easily refer back to any issues (reactive maintenance) and make sure that operators are completing PM's and doing so on time at a glance.

Pros:
Easy user interface, provides very easy to understand tracking of maintenance, both PM and reactive, as well as metrics like MTTR and MTBF.
Cons:
Nothing really stands out, usually any issues are resolved very quickly by the MaintainX team. The support team is very helpful and quick to help make changes and adapt to our needs.

Pros:
Secure, user interface is simple and easy. Keeps track for me and helps me plan my day. Remembers where I have been and wha I have done.
Cons:
I don’t like that my cell service has to be perfect for it to work. I rely on it so heavily I have to keep service or WiFi.
