How user friendly it is, very sharp and clear screens. We have received feedback from users, all of them positive which is unheard of.

Cons:

Nothing yet! I think it is an excellent system. I would like to keep up to date with developments within the Capture business to see which other areas we may work in partnership to automate processes as ASC.

Great system overall

We have generally felt for staff expenses and as a result how us needing to strongly check claims that Capture Expense has delivered a great system with the fundamentals being at hand which is also bespoke to us, so the system/development is more flexible that your average provider - [sensitive content hidden] himself was great at developing the product and showing how to use it - we are looking at implementing a bespoke credit card feature and hope we have a similar experience with that too when we get some time to sink into it.

Mileage tracker bespoke set up, ability to have many members in the group, ease of use for claimant and administrator, ability to follow on with the set up by adding new academies admin's end as well as adding categories etc, approvals are easy, expense uploads into a separate finance system are easy, reasonably priced, leaders/heads can see a console view of their staff and what has previously been claimed, updates pending/able to be implemented, we use 2 different finance softwares and both marry up with with CE - generally a well-rounded system

Cons:

There has been the odd bug in the system which needed reporting such as mileage not calculating properly or a different vehicle defaulting, audit trail isn't the best.

CE was able to make the software more bespoke to us and was more reasonably priced

Reasons for switching to Capture Expense

PSF at the time realistically only had a very DIY/manual system and with the strictness of claims we had to have an excel sheet system which a lot of people didn't like albeit was necessary to show good stewardship of financial resources - even then it meant someone had to manually input all claims thereafter - so we wanted a system that could work out mileage itself and upload expenses which we got

Excellent onboarding experience

We had absolute the pleasure of working with [sensitive content hidden] for our onboarding. She was extremely helpful, patient and explained how things worked. She was extremely efficient in answering all our queries by email and over the many team calls. She explains everything and understood all our questions and concerns. We could tell she was an expert! She was so encouraging also and gave us valuable advice from the very start.

Best expense management tool there is!

We highly recommend Capture Expense for any company still currently managing expenses manually. Whether start-ups or corporates, you will only discover what you are missing out on once you try it. Our overall experience was top notch, from discovering the solution to onboarding the team and integrating with our ERP.

Super easy to use interface, includes all 8 currencies we use for our international business, intuitive new AI feature such as the WhatsApp integration, simple onboarding for our entire team almost on our own, saved us tons of efforts and time when looking back at manual expense management.

Capture Expense is a hit!

Very easy and smooth. From set up to go live, the process and communication has been second to none. [sensitive content hidden] was great to work with, very helpful and answered all of my questions with patience and efficiency. It has been very well received by all of our users, there are now people claiming expenses that would not do so before as the process was too complicated and clunky! Now they can submit expenses with ease and from anywhere!

From the administration side of things, the ease in which people, vehicles, tags, categories can be updated and amended is great. From a user side, the creation of an expense is quick and simple and very user friendly. If there is something missing from the claim or someone is over limits, the errors are flagged and obvious. Attaching receipts to the claim is simple and effective and ties everything in together. Creating expenses via a mobile phone has been a big hit with all of our users for the convenience and simplicity of being able to create expenses on the go! The approval process is easy and provides an audit trail. Our Line Managers are no longer bogged down with lots of documents being emailed to them, they can access everything in one place. Being able to divert expenses to another Line Manager via the out of office option prevents any expenses being stuck in the system for too long because of annual leave.

Cons:

That the system does not automatically adjust claims to a limit where a limit is in place. (although it does prevent a submission so procedures are still in place to prevent overclaims).

Capture is easy and simple, not confusing at all - just what you need when your busy submitting lots of expenses, the system does all the hard work for you! From a HR perspective it really empowers our employees to easily manage busy workloads, and being able to submit expenses on the go!

Cons:

I would advise they get some more interactive demos they can issue out, like recordings of how to use the system, their demos were immense - but to have something recorded for employees to look back on would be useful.
