Gatekeeper: Streamlining Complicated Processes Easily

While Gatekeeper was largely effective, I did face some challenges with integrating it seamlessly into our existing systems. The API integration took longer than expected, and there was a learning curve when it came to some of the more advanced features.

The Gatekeeper team provides extensive implementation support, and the solution is incredibly user-friendly. With its clear search features, easy editing and uploading, workflow building, and custom fields, the user-friendly system makes it simple to add new entries and change old information. You are continually informed about how the system can improve your experience because it is supported by a wealth of user manuals and frequent sessions to update on new features.
Cons:
The extra modules cost a lot of money. Certain custom developments might never be made available because they need to be approved by the Ideas Forum.

The right flexible solution for a growing and innovated company

I've implemented multiple software solutions in the past, and Gatekeeper has been, without a doubt, the best team to work with throughout implementation and management. We've gone from having very little confidence in the accuracy and completeness of our contract records, to being the team and the solution that the company turns to when they want to know about a contract. Our company's rapid growth and the absence of a good contract management solution left us desperate for a better "way". Having a system that helped us file, organize, and track existing contracts was the most important first step. As we've continued to use the system and commit to the process, we are now able to be pro active with our contracts. Gatekeeper is the single source of truth. We couldn't have turned that ship around without Gatekeeper and the Gatekeeper team's help.

Pros:
The ability to customize was key. We strive to support each business unit's unique needs and processes, so a cookie cutter solution would have been too restrictive. With Gatekeeper we can shape our data and workflows to meet our teams' needs, instead of forcing them to conform to a software's built-in process. We knew adoption and integration would hinge on a system's ability adapt to OUR needs, not the other way around.
Cons:
The customization's "dark" side is that it can take some time and commitment to learning how to create workflows and manage the custom data. Gatekeeper support was helpful for us in this learning process, though. Our support pros from Gatekeeper always respond promptly and truly listen to our issues and questions.

Reasons for choosing Gatekeeper

Practically speaking, we were drawn to the intuitive and clean user interface, as well as the customization and email/messaging options within workflows. The Gatekeeper team that we met with throughout our review of the product was friendly and helpful, but also honest with us about what the system could and couldn't do. This stood out to us and made us feel confident that we weren't be sold something different than what we would receive. We felt they would be helpful and patient with us as we not only implemented the software, but also created a contract management process. They have not disappointed us over the past few years we've been working with them, and they continue to be an extension of our team as we work to support our company.

Reasons for switching to Gatekeeper

We needed a contract management solution that was flexible and robust enough to track data alongside a document record. This is where so many vendor solutions with a contract component fell short. We also needed an intuitive and customizable process management solution for contract reviews that linked up easily with our existing email platforms. This was a functionality that very few contract management solutions provided, but Gatekeeper did. When our team observed that they could answer messages from Gatekeeper without having to log into Gatekeeper, they were sold.

Overall very good as the system is easy to use and intuitive. The customer service team has been great at supporting with queries and requests, in particular [SENSITIVE CONTENT] who has gone above and beyond with requests needed and [SENSITIVE CONTENT] who has been great with demos of the system. [SENSITIVE CONTENT] has also been fantastic at showing other capabilities of the system.

Its easy to use which makes it easier for me as an administrator to teach others. Its good as a repository to store all documents. The customer service team has been very supportive.
Cons:
The vendor portal is something we are looking into but from the demo its possible there might be some issues with the way policy approvals are made by stakeholders in the approval chain (something GK are working on). This has not put us off the software and we are still very interesting in using this in the future. Some of the way contract data is captured is a little clunky an could be improved

It is pretty simple to use and flexible for set up, the main strenght is the versatility of the solutions offered within.
Cons:
Nothing, the support is amazing and the implementation team was great, i think that the implementation time can be shorter, but anyways it is pretty good.

A well-crafted contract used to take me hours or even days to complete, but now I've reduced my workload by 50%. Knowing that no important point has been left out of the contract undoubtedly makes the entire process of managing a good contract easier when a business agreement is reached with the client.
