How to choose the best commercial management software for you

Understanding commercial property management trends

What you need to know about commercial property management software

Commercial property management software helps property owners and managers run rental operations of business spaces like restaurants, retail stores, mixed-use offices, and warehouses. These tools simplify administration by managing lease agreements, creating detailed financial projections, and ensuring compliance with relevant laws.

Commercial properties operate on different scales, involving more complicated tenant relationships, lease agreements, and maintenance needs. Of the 3,439 conversations our software advisors had with property management buyers over the last year, commercial buyers showed more interest in building maintenance tools and budgeting and forecasting applications than average buyers. However, core needs remain important for everyone—98% of buyers requested tenant and lease management features. [1]

To give you an idea of the market’s scope, we’ve over 80 different commercial property management software listed on our site, with over 1,000 reviews published for these products in the past year alone. [2]

Pricing is a critical factor when considering these solutions. Based on your budget, commercial property management solutions in the market charge a flat monthly fee or a one-time license cost. Nearly half (48%) of commercial real estate software buyers who spoke with our advisors last year are budgeting more than $150 per month. [1]

If you’re a first-time buyer, consider your budget, number of users, specific use cases, and necessary integrations. Consult stakeholders to determine what questions you should ask vendors during an evaluation. Potential questions you can ask include:

  • How does the system handle an increase in the number of tenants and properties?

  • How does the software manage complex commercial lease terms, such as percentage rent, and CAM calculations?

  • Can the system generate detailed and customizable financial reports to track profitability?

  • Can the software integrate with other business tools we currently use?

  • What kind of customer support and training is available during implementation and beyond?

With numerous software providers offering various features, choosing the right option can be a challenging process. In this guide, you'll learn about the essential components of commercial property management software, and get step-by-step guidance on choosing the right solution for your portfolio. We’ve also tapped into the knowledge of our real estate software advisor, Alex Ynfante, who has been leading buyers to the right software for many years. Reach out to schedule a consultation with him or any of our advisors.

What is commercial property management software?

Commercial property management software simplifies financial, administrative, and operational processes for managing commercial buildings. These applications allow property managers to track building maintenance, manage leases, create property databases, and automatically calculate rent increases, late fees, and other CAM charges for shared spaces like parking and lobbies.

Unlike residential property management, commercial real estate involves complex lease structures with varying tenant needs for space customization. It also involves specialized maintenance contractors for HVAC, elevators, and other industrial needs.

The market offers a wide variety of solutions to meet these diverse needs. We’ve over 80 unique commercial property management software vendors profiles on our site, with nearly 1,000 reviews published for these products in the past year alone.

A common misconception property managers have is that specialized software for commercial property management is exorbitantly expensive and only suitable for larger portfolios. However, as Ynfante, our property management software advisor, explains, “The truth is, there are plenty of systems we can recommend that are half, if not one-third, as expensive as hiring a property management company, which is the go-to for most.”

Essential features of commercial property management software

It's important to know what features to check for when comparing commercial real estate management systems to choose the best solution for your portfolio. Some functionalities, such as property database, maintenance, and financial management, are core to every commercial property management system. Despite their commonality, other features can vary between products.

Core features of commercial property management

Feature

Description

Property database

Create a centralized database to store all property details, including lease agreements, ad tenant and owner information.

Financial management

Plan, manage, and track the financial activities of all commercial real estate spaces. Generate regular reports and handle everything from rent collection to expense tracking.

Maintenance tracking

Keep records of regular maintenance schedules and get automatic alerts when scheduled or upcoming maintenance tasks are due. Stay on top of repairs requested by tenants and track work order completion by contractors.

Common features of commercial property management

Feature

Description

Integrated accounting

Integrate general ledger, accounts payable and receivable, expense tracking, balance sheets, income statements, and payroll management to manage property’s finances better. Automate recording of rent and deposit collection, late fees, and payroll disbursement.

Communication management

Manage and track all internal and external communication conducted via calls, emails, texts, or chats between you, tenants, and contractors.

Late fee calculation

Automate the calculation of fees for late rent payments. Track key dates and send rent payment reminders to tenants before the due date.

Lease management

Manage and monitor lease renewals, coordinate any tenant alterations, and handle lease amendments.

Owner and tenant portal

Portal for property owners to manage property listings, upload documents, track payments, and generate reports. Dedicated portal for tenants to submit their queries or maintenance requests, pay rent, and interact with managers.

Vacancy and listing management

Create, edit, and monitor product or property details displayed on listing websites (i.e., agency websites, third-party listing sites) to market vacant properties.

Rent tracking

Track past payments, the next due payment, and the regularity of monthly rent collection from tenants. Receive automatic alerts for any delinquencies or discrepancies.

Benefits of commercial property management software

Commercial property managers often struggle with operational inefficiencies. Nearly seven out of 10 commercial property managers our advisors spoke to in the past year used basic to no specialized tools for management, and two out of every 10 managers were trying to make do with regular accounting tools.

Alex Ynfante, who has been helping property managers find the right tech solutions, points out, “A lot of times these buyers don’t realize that specialized tools can elevate simple bookkeeping or record management with dedicated modules designed for commercial building management.” Having commercial property management software helps you centralize information and simplify day-to-day operations. An analysis of user reviews reveals this:

  • Reduces response time by bringing everything together: Consolidating all tasks—from tenant acquisition to repair scheduling—into one platform, commercial property management software frees up time to address tenant needs promptly and resolve issues in time.

  • Improves decision-making by digitizing operations: Taking everything paperless and centralizing data digitally, helps you spot trends and make better decisions about everything, from rent pricing to marketing strategies.

  • Boosts tenant satisfaction through transparency: Automated calculations for charges like common area maintenance (CAM) or late rent payments minimize errors and reduce disputes. Clear, transparent billing leads to more satisfied tenants who stay longer and recommend your properties.

  • Enhances operations’ efficiency with 24/7 functionality: Online portals enable tenants to submit requests anytime, while automated responses handle routine matters. Property managers can focus on urgent issues and monitor overall investment profitability.

  • Makes it easy to scale and grow: Once you’ve the systems in place, software takes over. Whether managing one building or a hundred, the system maintains efficient operations without constant oversight, supporting your growth.

How to choose the best commercial management software for you

Step 1: Define your requirements

Before selecting a commercial management system, it’s important to know exactly what you’re looking for. Doing this will save you time and avoid paying for things you don’t need. These will guide you towards the system that aligns with your operational demands.

Portfolio-specific functionalities

Different commercial buildings, such as office spaces and retail shops, differ in their management needs as well. For example,

  • If you manage a retail space in a strip mall, you may need software that can handle percentage rent calculations, where tenants pay a base rent plus a percentage of their gross sales.

  • If you’re dealing with office buildings, you might require tools to track shared space usage for Common Area Maintenance (CAM) charges.

Ensure the solution you choose can handle your specific property types and operational needs. Look for functionalities relevant for you, which may include:

  • Complex lease management with customizable terms for rent percentages, renewal options, and escalation clauses.

  • Automated monthly billing that accounts for extra charges like CAM, sales profits (if applicable per lease), or late fees.

  • Coordination and tracking of routine maintenance for large-scale commercial systems (e.g., HVAC and elevators) with contractors.

  • Financial reports generation to analyze occupancy rates, optimal rent, and returns on investment.

Create a checklist of must-have features based on your property types. Doing this before you move on to vendor demos will help you quickly identify which software options offer the basic features you need to manage your unique mix of properties.

How much should you spend on commercial property management software?

Commercial property managers often hesitate to invest in specialized software, fearing it might strain their budget. This concern is particularly common among those overseeing fewer units. However, as our advisor, Ynfante, points out, "there are multiple affordable options available for all portfolio sizes." Regardless of the scale of your operations, you're likely to find a software solution that fits both your needs and budget.

Common pricing models in commercial property management software include:

  • Per unit, per month: A set fee for each unit or property managed, often ranging from $2 to $15 per unit per month.

  • Tiered pricing: Multiple pricing tiers offering different sets of features and property limits, often starting around $125 per month for basic plans and scaling up for more comprehensive solutions.

  • Custom enterprise pricing: For large portfolios or complex needs, vendors often offer customized pricing packages.

Our data shows that nearly half (48%) of commercial property managers budget more than $150 per month for software. This distribution suggests that a majority of commercial property managers value more comprehensive solutions.

Single-Bar-Chart-copy-1

When considering costs, also factor in potential upfront expenses such as setup fees, data migration costs, and training. Some vendors may offer to waive these fees, especially for larger accounts. Additionally, consider ongoing costs for customer support, updates, and any additional modules you might need, such as lease management or financial reporting tools.

While budget is an important consideration, it shouldn't be the only factor in your decision. “User-friendliness of the software is as important. You may gravitate toward the cheapest solution, but may not fully realize the limitations in usability, functionality, or even customer support,” says Ynfante.

Consider regulations when selecting your commercial property management software

Every geography has its own set of rules for maintaining commercial properties. Your software should help you stay on the right side of these rules. Look for a solution that keeps you informed about relevant regulations and have in-built checks that help you abide by them, from scheduling fire safety inspections to maintaining records and sending renewal reminders.

Look for features that help track and maintain compliance with laws like the Americans with Disabilities Act (ADA), which requires commercial buildings to be accessible to people with disabilities.

If you're managing specialized properties, like medical offices or government buildings, ensure the software has features to meet industry-specific regulations, say OSHA regulations for managing a warehouse.

Plan around integration options

Your selected commercial property management software should allow you to work with the tools you’re already using, including accounting tools, customer relationship management (CRM) tools and others. Smooth integration will help you draw the best of all software, so it’s crucial to assess and plan software integration capabilities.

Our research shows that 62% of potential buyers are looking for solutions that work for two to five users. Also, think about how different members on your team will be able to access and share information when planning your integrations.

Step 2: Shortlist commercial property management software

Get qualified help from an advisor

At Software Advice, our advisors like Ynfante have experience helping hundreds of landlords and property managers identify solutions that match their needs and budgets.

Ynfante explains, "We help property managers condense weeks of research into 15-minutes, offering five personalized recommendations that check all your boxes, based on portfolio scale, budget, and functionality needs.”

If you need guidance, you can chat online with an advisor or schedule a phone call. Our advisor will help you identify a shortlist of options that align with your practice’s requirements in just a few minutes.

Step 3: Pick your best option

Getting ready for software demos

Once you’ve got a shortlist, vendor demos are the next step. These are your chance to see the tools and features in action, understand what they cost, and decide whether one is worth your money. Prepare a list of questions you want answers to. Here’s what you can ask the vendors:

  • Can I customize this software to fit my specific workflows, like managing mixed-use properties or handling complex lease structures?

  • Is there an app I can use on my mobile or tablet to manage properties on the go?

  • Do you help move current tenant, property, and financial information into the new system?

  • How does your software help me comply with commercial property regulations?

  • Can you demonstrate how the software manages different user roles and permissions?

  • How does the software integrate with other tools we are or might be using, like advanced maintenance modules?

Understanding commercial property management trends

Commercial and real estate property owners should always be ready for unexpected changes in the marketplace. The trends mentioned below can help you identify the current trends in the commercial property market.

Mobile-optimized self-service portals: These days, users prefer to manage their accounts and access information on-the-go. Commercial property management software are adapting to this trend by offering mobile-friendly self-service portals. These systems allow residents and managers to access their accounts, manage paperwork, and handle various tasks directly from their smartphones or tablets.

Payment automation: One of the fastest-growing trends in the property management software market is the ability to accept payments online. With the rapid growth in the number of online transactions and purchases, tenants expect an automated payment system to be an integral part of any property management system.

Green buildings: More and more, tenants want energy-efficient buildings. Many modern systems can help you track and improve your buildings' energy use. Some systems can even automatically adjust heating, cooling, and lighting to save energy.

Business intelligence capabilities: Commercial property management systems are increasingly offering intelligent forecasting and budgeting capabilities. This helps property owners to understand various scenarios (such as future demand analysis and potential financial risk) which may occur in the future and anticipate measures to counter them.

Commercial Property Management FAQs

  • What software do commercial real estate agents use?

Commercial real estate agents rely on three types of software: a CRM system to track client communications, schedule property showings, and follow up on leads; a listing tool to search available properties, analyze market rates, and create property marketing materials, and lease management software to administer lease agreements and analyze rental terms.

  • What is property management software?

Property management software is a digital tool used by landlords and real estate professionals to manage their rental properties' day-to-day operations. It helps them market vacant units, screen potential tenants, administer lease agreements, collect rent online, handle maintenance orders, and simplify other workflows. It’s like a digital property manager working 24/7.

  • WWhat is a CRM in commercial real estate?

A customer relationship management system or CRM in commercial real estate helps brokers and real estate agents convert potential inquiries into actionable leads. The software assists agents in collecting customer and lead data from multiple sources and using those to facilitate sales and marketing efforts. It also helps them schedule site tours, monitor lease negotiations, and maintain detailed records of property-specific client interactions in one place.

  • Can you use Excel for property management?

Yes, Excel can handle basic property management tasks, such as maintaining current lease records or tenant information. According to our software advisors’ conversations with users last year, 22% of commercial property managers used spreadsheets as their main tool. The most common pain points include: manual tracking being too labor-intensive and a lack of automation in tenant communications and payments. But spreadsheets can become limiting once your portfolio grows or you need to automate rent collection or calculate CAM charges.

  • What is CRE software?

CRE or commercial real estate software provides a broad digital ecosystem for people who own and manage business spaces. It encompasses various tools for financial management, operations management, and investor management. It includes functionalities to track portfolio performance, manage lease agreements, schedule maintenance, analyze property investments, create reports for investors, and manage broker-client relationships.
