QuickBase is a cloud-based project management solution that enables users to collaborate with team members, clients, associates and vendors.

QuickBase is customizable and can be configured with numerous applications. It enables workflow automation by utilizing forms, alerts, reminders and notifications. In addition, QuickBase creates personalized to-do lists, highlights tasks assigned and notifies users of deadlines and project statuses.

The “Report Builder” feature generates summary reports that are customizable and feature drag and drop functionality. The software also allows users to upload relevant documents per each project for better collaboration and centralized access.

QuickBase’s “Time Card” feature keeps track of the time consumed by resources with respect to the tasks assigned and expenses involved. The software can be accessed by any browser or mobile device for 24/7 usage.

I think QB is doing a great job growing and we've enjoyed using their software.

Pros

The versatility and options to customize. We have used QB as an ATS, sale organizer, method of tracking jobs, contacts and internal employee information.

Cons

Could be a little more user friendly. We've been able to build so many different tools, but I wish the interface was a better.

Database software being used for Project Management and collection of data for Accounting

I like the premise of QB and the ability to become what it needs to become. However, if basing my review on what I need it for, which is Project Management, Estimating and Accounting, it would take a lot of time and money to 'become' close to what is needed and some features such as Estimating, would never be able to accomplish what we need on the General Construction platform.

Pros

The ability/option to customize as needed.
The ability to add other modules and manipulate the user interface.

Cons

The lack of functions needed unless customized. Unless you have an IT person on-board or handy, it is unlikely that you will get the results you want without creating other issues. We had a dedicated employee with QB experience, to work on QB build-out only and even she had difficulty creating and modifying to make the program work for several different divisions within our company, all with different needs.

I like the flexibility that Quickbase offers. We run our entire business using the tool. It has the capability to track most aspects of our business.

Cons

User functionality is less than ideal. If it is used purely as a backend database, it is fine, but using QB forms make the user experience difficult to manage.

Quickbase was a functional internal ticketing system and, as a system that my company also used to store certain types of data, I never experienced particular issues with downloading said data.

Cons

The UI of Quickbase was not always the most intuitive and it didn’t seem to have the same degree of collaborative tools such as in JIRA.

Extremely useful for grants management. We have been using the nonprofit manager application for three years and love it. We also created six other applications to track social services including afterschool care, legal advocacy and public program application assistance.

Pros

Very customizable, quick and easy search. Helpful support services. Low-cost. Can easily download information and upload information from Excel.

Cons

Wish I had more time and knew more to customize the templates with my organizations branding, but as a backend management system. This product is perfect right out of the box.

I like the flexibility of the product. The ability to expand features as needed, etc. I like the ease of getting the reports I want.

Cons

It takes a lot of programming to get the product to do what we would like it to. Some of the features do not work how I would like them to- could be an in house gap, or with the product. I am still learning, so not sure.

Pros

QuickBase has allowed me to merge several tasks and activities that I was used to doing manually. So much time saved! I am able to track employees hours, see itemized sales reports, and keep track of vendors and orders all in one place. The best part is that it is all cloud-based, so I can access it from anywhere.

Cons

Integration with other programs wasn't as much of a breeze as I had anticipated. Forunately, if I need help figuring anything out, I can always call customer support.

This software is extremely customizable with tons of different apps to tailor the system to your business needs.

Sometimes the interface isn't entirely user friendly and I have to scroll through things I don't need to finally get to what I was looking for. Also, I don't see anything to set reminders to follow up on tasks. Perhaps it's there but my office is in charge of adding apps.

Recommendations

Give it a 30 day try to make sure this fits your business needs. My office uses it for managing real estate leads and property management with great success.

I love the product itself, but QB customer service is absolutely the best support I've ever dealt with. The customer service perspective is excellent (fast responses, etc), but it's rare to see CS with such a detailed knowledge of their own product. They know QB back and forth. I love dealing with them and they have helped me extensively building my apps.

Despite my rave reviews of their customer service, the actual CS portal is not good. Also, there isn't much in the way of training with QB. I had to learn everything on me own, either reading the manual, bothering CS with 1000 questions, or using the community page. I would love to have had some "classroom" style training.

Recommendations

Learn Javascript!!! I now know that I could have built so much more power into my apps if I knew Javascript. Also, if you have web development skills, you will also be able to build fantastic apps.

With the ability to "relate" records within this application, you have the ability to track information in a multitude of ways. You can track information simply based on Customer, Staff, Product, etc what ever your needs.

With an out of the box application, it is not simple to complete every "dig down" into data that is feasible. With the data being so readily available, parsing it more simply to meet my needs would be more beneficial that the Out of the Box does not inherently support.

Recommendations

Compare what it will cost you for a programmer to build the App you want, Evaluate how much the Out of the Box App can do for you today, and finally what will it cost to pay for someone to support you to learn or build what it is that is missing from the Out of the Box application.

You don't have to be an IT person. In Fact QuickBase is designed for the Business User to built applications. The structure of QuickBase is such that it follows the logic of a process as if you were actually doing the functionality as a Business User. QuickBase fits like a glove, designing and using applications is a natural flowing process.

A major benefit is being able to keep track of all your files in one place. Then taking that data in those files and converting it into reports and charts.

Pros

This software will bring you and your origination into the 21st century. What is considered the "norm" are Excel files and sheets. Well with QuickBase, the software allows the user to create Apps. What these apps can do is create an entire realm of excel sheets into one application. This eliminates the need to save and send and keep track of one or many excel files. By have one application house all of your files any user can log into QuickBase and continue to works where the last person left off. No need to save and send and wait on some else to finish their part. All the data the lives inside these apps are in a "live" state and the data is shown in real time. The other good part about QuickBase is all this data can be converted into reports and charts, allowing the end user to display visual aids to meet needs.

Cons

There are a few minor cons however I will not write them as they are mainly just pet peeves of mines. I would say one con is, it will take some time for a new user of this software to start building applications. Now I am not saying this is a long process if the person is willing to learn they will learn rather quickly. QuickBase also offers what is called QuickBase University, user can join this online training course to help rapidly learn how to use this software.

We are able to utilize the QuickBase application for a magnitude of different functions, most frequent use revolves around Project Management. QuickBase allows for non - programmers to develop their own apps with ease. Very cost effective from an IT resource prospective.

Pros

The greatest benefit we see with QuickBase is the ability to respond quickly to our business needs. The product is flexible and easy to change. Our user group also likes having a single place to go to do multiple functions.

We manage a large apartment community (2,500 beds+) and we record all of our pre-leasing each year into a massive database we created in Quickbase.
The reporting is excellent, we can customize everything so we can continuously grow our operation year-to-year to focus on the metrics that matter to us. It allows us to have our dozen agents and 3 managers, access and update the database from anywhere, in real time.

Pros

Ease of use, customization, access anywhere - customize reports!

Cons

Not very pretty to look at, but that's not really a big deal.

If you are looking to streamline your data and have it available for all your company to have access at their fingertips... this is the application you need. We are a large Fuel provider and have started utilizing Quickbase applications for purchase orders, fleet management, parts returned, functions tremendously saves, etc. It has unified processes within the company that were never able to stick before. Data is retrievable quickly for instant answers. We learn from it every day and it has functions tremendously. Easy to use to develop apps for simple tasks or complex customer databases. Everyone should be using Quickbase!

The convenience and ease of the drop down functions to input data and then search it a plethora of ways for easy quick answers

Cons

Quickbase should provide more training and or tips that are easy to find and follow without having to pay for a seminar.

We have struggled to find the right software for our company to track all the things we need, so when we tried the trial of Quickbase, we were excited to see how our complicated spreadsheets could become a fantastic tracking system for our company. The database has now provided tools that have saved us countless hours of updating spreadsheets and in some cases, losing deals because of lack of organization and timely processing of information. We are able to manipulate our apps in QuickBase to fit exactly what we need, and the system can grow with our company as we grow. This has probably been the best investment we've made this year.

I found it very difficult to use this platform to collaborate on complex projects. It's hard to quickly see what activity on a project is relevant without spending a significant amount of time opening several discrete Jobs and combing through for details. Overall it is highly segmented, with a very traditional kind of interface.

I trailed this software a few months back and at first was impressed by the features it was capable of. After diving in and getting to know the system and how it worked, it felt clunky and unorganized. This could just be my personal preference on how I would like a program to look and function though. So my advice would be to go through a trial, get to know the system in and out, and make a decision. It may be a great fit for other people, just not for me and what I was trying to accomplish.
