Benefits of medical spa software

Key considerations and trends

What you need to know about medical spa software

Medical spa software is a specialized solution designed to streamline medical spa operations by integrating various functionalities such as appointment scheduling, patient management, and billing. It often includes features that are common to all general medical EMR systems, such as charting and patient records management, but it also has additional features such as inventory management and marketing tools to enhance customer engagement and operational efficiency.

The software enables practitioners to maintain detailed client histories, track treatment progress, and ensure compliance with healthcare regulations. Additionally, it supports online booking and automated reminders, reducing no-shows and improving client satisfaction.

One of the biggest misconceptions for buyers seeking medical spa software is the amount of crossover between traditional medical EMR software and systems designed to handle cash-based spa services. According to our own medical software advisors Bobby Waldron and Jonathon Schultz, most medical spa software buyers approach the software purchasing process thinking they need software that exclusively manages a services business. In reality, there are traditional EMR systems that do offer functionality to support these types of practices.

You may need medical spa software if your business operates within the health and wellness industry and offers a combination of medical and aesthetic services. Common users of this software include:

  • Dermatology clinics

  • Plastic surgery clinics

  • Wellness centers

  • Cosmetic dentistry practices

Medical spa software is typically priced by tiers, with those on the lower end of the cost spectrum catering to solo practices and offering leaner feature sets, and the more expensive options offering seats for unlimited users and more robust features. Payments will generally be broken down into monthly amounts, but many vendors charge one lump fee annually.

To give you an idea of the size of this market, Software Advice covers 92 products in this space, and we have published over 2,400 verified user reviews for these products in the past year. [1]

If you’re feeling overwhelmed by the software search process, you can schedule a call with our medical software advisors, who can guide you through the search to identify a shortlist of medical spa products that will fit your needs.

What is medical spa software?

Medical spa software helps spa owners, managers, and therapists streamline their administrative tasks and improve focus on service delivery. It allows medical spas to manage their calendars and client appointments, receive feedback from clients, process payments, and market their services. In addition, medical spa software helps analyze staff productivity and manage inventory.

Common features of medical spa software

Different vendors offer different features in their medical spa software solutions. Selecting the right medical spa software for your business is easier when you know what the common features to look for and what they do.

Feature

Description

Appointment management

Allows medical spa owners and staff to book, reschedule, and follow up on client appointments. Some solutions allow users to confirm appointments with clients via text message and email. Of medical spa software buyers we spoke to, 97% rated this feature as critical or highly important.

Client management

Allows spas to capture client information such as name, visit history, birthday, or other life events to promote marketing campaigns, as well as segment clients by service preference and spending level.

Customer database

A collection of customer information such as contact details, demographics, previous interactions, etc. Can be used for marketing outreach purposes or follow-ups.

Faculty or staff management

Allows spa owners and managers to track employee attendance and manage work schedules.

Gift card management

Reward loyal customers with gift cards that they can redeem for special offers and loyalty bonuses as well as manage the issuing and payment processing of gift cards.

Billing and payment processing

Allows users to generate invoices and accept payments from clients via multiple payment methods, including credit/debit cards, cash, electronic wallets, or gift cards.

Reporting and analytics

Allows spa owners to track business performance using different types of reports such as appointment activity reports, sales reports, tax reports, and profit and loss records. They can also assess staff performance by analyzing metrics such as average profit per booking, client retention rate, or clients serviced per day.

Inventory management

Allows spa owners/managers to track inventory levels, automate reordering items when stock levels run low, and capture details of received orders.

Advisor Bobby Waldron suggests that support for pictures and patient profiles is a massive requirement among aesthetic service providers. “A lot of times that's their number one request. They want to see the before and after photos that they can show their patients so they can see the changes that they've had with their services.”For more information on these features and to explore medical spa software solutions, you can reach out to our advisors. They offer free, no-obligation assistance and can help you identify the best options based on your specific needs.

What type of buyer are you?

Before you start evaluating medical spa software options, you'll want to know what buyer category you belong to. Most buyers fall into one of the below categories:

  • Solo therapist spa: Due to limited resources, these spas require a solution that allows their clients to make online appointments through a web interface. The solution must also help the solo therapist track the status of the appointments and collect payments via different methods such as cash, credit cards, or electronic wallets.

  • Small and midsize medical spas: A small medical spa usually employs 5 to 20 staff members while a midsize spa may have around 20 to 50 staff members. These businesses deal with a larger volume of customers and staff members, and therefore, require a solution that offers client management, staff management, appointment scheduling, and payment processing.

  • Large medical spas: Large medical spas usually employ more than 50 staff members across multiple locations. Due to the large number of customers and staff members these spas manage, they'll benefit from reporting and analytics features to generate various types of performance reports. Also, these businesses will want the software to integrate with their existing marketing tools to create data-driven marketing campaigns.

Benefits of medical spa software

While some of the benefits of medical spa software may be clear from the discussion above, we've called out the most notable ones below:

  • Enhanced client experience: Medical spa software helps spa owners streamline their administrative tasks to improve customer service delivery. The software also captures clients' purchasing habits that help spa owners provide personalized services. Some systems offer a feedback collection mechanism that allows clients to share their comments about their experiences directly with spa owners.

  • Increased staff productivity: Medical spa software solutions help spa owners plan work schedules for their staff to enhance productivity. Spa owners can also track individual staff performance and collect client feedback to enhance the level of service across the entire workforce.

According to our advisors, one of the most common challenges that medical spa software buyers need to solve is customer relationship management. While this feature isn’t common in general medical software systems like EMRs, it is much more common in systems that are specifically designed for medical spas, making it beneficial to those needing CRM in their software offering.

As Schultz explains, “These are service businesses, driven by people coming back for elective services. So a lot of these buyers’ concerns have to do with making sure their customers return. While they’re not always looking specifically for a full marketing program, they do want to make sure they have the ability to reach out to their clientele or their active patient base in order to get them more engaged.”

Key considerations and trends

Medical spa software buyers should consider their unique needs before they begin researching or interviewing specific software vendors. Things like the size of your practice, the number of patients you see, and your budget will all be determining factors in selecting your medical spa software. A few other considerations include:

  • Mobile app availability: A companion mobile app will help you track and manage your spa business from anywhere. It'll also help you track appointments and client queries while you're at work or away. In addition, a mobile app is helpful if you're operating multiple locations.

  • Pricing and functionality match: Most medical spa software solutions are available with a monthly or annual subscription. Carefully evaluate subscription plans to match your budget and the features you need most.

  • Customer support: Find out if the vendor offers support 24/7, only during business hours, or not at all. Also, ask about available support options, such as email, phone, or live chat.

According to Schultz and Waldron, a major trend in this space right now is medical providers such as internal medicine practices or nurse practitioners starting to offer cash-based aesthetic services alongside their regular medical practice. It’s essentially becoming a side hustle for medical providers in this gig economy.

As Schultz puts it, “These providers want their medical spa practices to be extremely approachable, very cost-effective, easy to be done by their phone or using minimal hardware because they're not trying to invest a lot into this business. They're trying to essentially do the minimum they can because they need additional cash flow for their income and their livelihood.”
