athenahealth is providing cloud-based services for electronic health records (EHR), revenue cycle management & medical billing, patient engagement, care coordination, and population health management, as well as Epocrates and other point-of-care mobile apps.

athenahealth currently works with a network of more than 99,000 providers. The EHR offers a homepage that allows users to review the daily schedule and patient information, manage orders, and view incoming lab results. The billing module can be used in tandem with the EHR or on its own, and features a patented and continuously updated rules engine. Medical practice management tools include visibility into daily responsibilities, custom benchmarking, proactive trends analysis, and more.

Patients can utilize a patient portal to review history, pay bills, sign forms, and schedule appointments. Reminders can be delivered via phone, email, or text message; patients can even be alerted when test results are waiting in the patient portal.

This system is fairly hard to use including multiple steps and it lacks a lot of functions. The system has several annoying features that require repetitive or multiple steps. The customer service line is a hit or miss on if you actually get help.

Pros

The nursing intake is not too difficult to master and the helpline is sometimes useful.

Cons

It's complex with lots of steps and weird rules and regulations. This company actually took money out of the doctor's personal bank account which is totally unacceptable. Athena promised a lot of services they couldn't deliver that our business has had to compensate for.

Advice to Others

This isn't a great system to use I would look for another one, our business is currently searching for a better system to switch to.

Went from terrible to the worst

Once they implemented their "streamlined" version, Athena went from just terrible to the absolute worst EHR on the planet. Nothing is streamlined about it. At least double the amount of time and clicks to get through a patient's documentation. Everything is collapsed by default so you have to click on it, wait for it to expand, and then do your work. Brilliant! Every developer who worked on this should remove themselves from the gene pool. Idiots! I could go on for hours about specific features of this product that are terrible. But it's not worth my time. Believe me, they won't change even when their own message boards are lit up with identical complaints.

Pros

Nothing. It's terrible.

Cons

Too slow, too many nested or collapsed menus. Nothing predictive or in any way helps speed up the process.

Advice to Others

Avoid like the plague. If they use this where they are offering you a job, don't take the job. It will kill your productivity and you won't be able to make any money. If the organization you work for wants to switch to this product, quit and go work somewhere else. Yes, it's that bad.

Athena is amazing

We started using Athena in October 2016 and absolutely love it. They pay attention to the client's needs and were always willing to change and adjust. The billing is taken care of for the most part and the help center is always there, friendly and knowledgeable at the drop of a hat. I have only been in the medical field as a practice manager for 5 years, but this is by far the best EMR that I have experienced.

Pros

Ease of use. Friendly customer service

Cons

We are pediatrics and need some options specialty tailored like the patient portal and Athena could not tailor some options to be pediatric friendly. We worked around it, but I have patients registering their kids as the guarantor and billing contact.

Advice to Others

Athenahealth has been wonderful to work with and everyone I have ever contacted has been friendly no matter how big or small the question. Strongly recommend.

The intake is a very long process and multiple clicks take too long.

Cons

The medications having multiple clicks and the order button is too close to the delete button on the medications making it easy for the person deleting the medication to order a medication instead of deleting.

Just like any system, Athena has good and bad. The most recent forced update which primarily grouped together similar insurances under a "super package". This change has caused many difficulties. One "super package" can include an insurance that does not require a referral while another insurance under the same package requires an authorization. There is no simple way to figure out exactly which insurance plan you are looking at unless you open up the eligibility details which is time consuming.

Pros

The scheduling feature is extremely easy to use. You can use as many or as little filters as you would like to schedule a patient.

Cons

The insurance policies in Athena have moved around and combined with plans they should not have been combined with. It is a nightmare to run a report for a certain insurance or trying to decipher which specific plan you are looking at without multiple steps.
When making changes to a group of claims (for example adding a missing insurance), you have to go into each individual claim to make the change - there is no way to make the same change to multiple claims.

In my opinion, Athena is a great program to use. After the recent "Streamline" update the staff has had difficulties adjusting to the new look but doctors have found it to be more convenient. I think overall Athena continues to improve with updates and I have noticed many other medical offices have started to use Athena.

Pros

Recent activity in the patient's chart. Doctors have recommended the new streamline update because it makes it easier for them to dictate.

Cons

Too much clicking and difficult to find documents and orders. For example, not everyone scans documents in the same place. Unable to show patient alerts or reminders needed during an appointment. For example, the patient is in pain management but continues to ask for pain medication during an appointment. There is not a way to flag this for the doctor. Athena slows down while trying to put in orders from time to time. No ability to change patient status or room number while in the exam. No longer shows patient body part in the top right of the screen while in the encounter. Unable to open an order listed on the left of the patient's chart, such as medications to see what user created the order.

Advice to Others

Physician recommended. Staff still has minor complaints.

Learning a new EHR is a real pain. Most of us would prefer to go back to dictations or paper. However, that's just not best practice anymore. My friends recommended Athena to me when I was starting up my business last year. Once we were up and running I felt better about this system. I didn't really fall in love with it until I had been using it for about 6 months. The customer support is wonderful, being able to do combination narratives and templates has been very helpful and has increased my time management. I am now 14 months into my new practice and I still have a few more templates that I will customize, but I love it.

Pros

Auto medication updates, customizable templates, patient portal, patient quality measures and tracking, and great customer services. I do use their billing services as well.

Advice to Others

Do not compare EHRs to paper or dictation documentation.

When we 1st purchased/contracted with athenahealth, it was, like all EMR's, not optimal but at least reasonably functional. With each upgrade, the system has become more difficult to use, requires more bandwidth, more employees to manage and creates more problems to solve. Its primary function is obviously not to help physicians take care of patients or office staff to run an office. Can't quite figure out what the purpose is at this point. They charge an arm and a leg for billing which essentially translates to sending claims. They do no follow-up and it is much more difficult to send claims in the system than it was in our previous one. We are actively looking at new systems now.

Pros

Cannot come up with any now.

Cons

The lack of customer service, the number of clicks it takes to do even a basic function. The number of error pages received.

Advice to Others

Overall, I am very pleased with Athena's EMR. It does a lot more and is easier to use than my previous software which I used before.

Pros

Able to prescribe controlled prescriptions electronically. Bidirectional interface with state shot database. Barcode scanners for vaccine input work really well. The portal system is great but not always easy to sign up for a parent.

Cons

Once you finish a chart and sign off, it is not always easy to get back into the chart and add orders.

Advice to Others

It is good for a small practice. The billing side could be better, but I have never had to do billing before so it may be that it is similar to others.

We have been on Athena for four and a half years now and I like it overall I think the practice management side is better than the EMR function
It is an expensive system overall but I think they do a good job on billing and tech support is good. The quality management piece and some of the past medical history sections are really awkward to use. The management of paper in the office is good and we have been able to reduce a lot of the paper that floated around the office There is just a lot to learn with the system to do everything you want and it can be overwhelming when first starting with it The fact that it is a cloud-based system is great We have only gone down a few minutes a year because of an Athena issue The phone app works great and has made it not a big deal to cover call for myself all the time I truly can have a prescription sent in while talking on the phone to someone or document an ED recommendation

Advice to Others

Ask them about the closed loop orders they charge for every order you place in the system CBC BMP referral CXR etc. This can really add up for a diabetic visit of money off the top I was told a typical practice only had about 80 of these a month which I didn't really believe but on an average month I run about 800 of these a month which makes me cap out in fees of 9% a month to Athena Ouch!

The overall design is not bad but aspects of specific tasks requirements were not thought out. Requests for changes are felt to be a responsibility of users' consensus, rather than logical functionality.
Some tasks requirements are cumbersome requiring extra time.

Pros

Rapid save feature is good, which prevents loss of data.

Cons

The extensive learning curves with inadequate preparation and poor training. The system has requirements that loop, causing need to review the same information.

Advice to Others

Require Athena to provide a more intensive level of training to all levels.
Evaluate the system by testing and evaluating the system before contract negotiations, using real data and charts.

I learned from my mistakes. I knew what to look for and ask before we switched vendors.

Pros

They have an automated program that calls the patients if they don't pay. They have mechanisms in place that won't let the patient be until they pay.

Cons

1500 characters is not enough space to write the cons. The posting team is awful. They were writing off charges constant that were not suppose to be written off. Always posting wrong. You think a company that had the responsibility of posting payments would show their posters how to read an EOB. Their first tier support wasn't trained adequately. They would always refer you back to your account manager. We were inundated with phone calls from patients because their accounts were incorrect. They billed Medicare patients for services that were suppose to be written off. Then the patient paid before I'd find the mistake. I'd then have to send them a check for the over payment.

We have been using athenahealth since 2011. There have been many changes for the better. Athenahealth strives to be ahead of the curve when it comes to regulatory changes. They are proactive. Customer service is very helpful and seem to answer 90% of question up front. What they can't answer is researched and answered in a timely manner.

Pros

Proactive in regulatory changes. They are above in their field. Reports are amazing and customer service is very professional.

Cons

Office need to maintain the control with adjustments because they are aware of extenuating circumstances with each case.

Advice to Others

Make sure office are monitoring all aspects of the EMR. Keep hands on and it will perform at an excellent level for you.

We made the arduous decision to change patient managements systems back in 2011. We reviewed dozens of other programs. None of them could do what Athena does. So we jumped in and we are so happy that we did. Athena is the only cloud based program that I am aware of that actually actively assists the medical office in increasing revenue. They do that in a multitude of ways. Our A/R definitely improved and is much easier to manage, billing now is a breeze, reporting is wonderful and the customer service in response to questions or issues is exceptional. We especially love that Athena does not nickel and dime you to death and we do not have IT issues to deal with, We have never regretted our decision to go with Athena!

I have used Athena for 6.5 years. Athena has changed over the years to meet all of the challenges and changes that have happened. The ICD-10 is coming the internal training program insures that the office and the provider will be ready. The ICD-10 training is easy and logical and specialized to the individual practice.

The Athena team stands behind us with follow up on claims, makes the calls to the insurance company with documented notes as to date and time of call and call ref numbers. Local rules can be set to practice needs and insurance company quirks.

The live phone support is great, screen sharing can be used to solve problems. Training modules are available and can be viewed many times.

Athena is changing with the field of medicine and Athena helps us keep changing.

An Athena community is part of the system that practices can share problems and solutions. I recommend Athena collector and the EMR to those practices that want to be on the cutting edge

Using athenaCollector, athenahealth¿s practice management service, enabled our practice to trim its billing staff from 8 to 1 ½ with our average days in AR at 16. Prior to that we were waiting over 90 days to receive money from the insurance company. Athena Collector provides a user friendly environment that gives us insight into revenue cycle management and organizational performance. It gives us transparency and visibility into scheduling, billing and collections on a daily basis. Athena¿s customer service is outstanding. Rarely do I have to sit on hold for more than a minute to receive assistance on an issue. The physicians enjoy looking at the days end/performance reviews comparing their progress to each other and to the rest of the country. The satisfaction level is very high among Athena users locally as well as nationally. Athena works very close with our practice to achieve and maintain success. They are some of the finest IT minds in the industry and understand what we do. It truly was the best decision we ever made.

I love the Athena Health program and highly recommend it especially for independent physician with a need to have a solid base to their billing system. I have been highly satisfied with Athena's service but do recommend that anyone using their system has someone with billing follow up expertise on board to follow up and resolve billing issues as they come up. If your system runs well you can send the bill from the out desk as there are a lot of built in rules that prevent errors but as with any billing system when things bounce at the insurer level it commonly needs further work and while Athena will do that to some degree having someone able to follow up on things that can't be cleared by Athena is reasonable. Botton line: Athena clears 90% of your billing issues but given the complexity of billing these days best to have someone on board or on contract to get the most out of your work efforts. I welcome questions or concerns.
