Recommendations

Make sure that the workstations have the required I.E. Settings and if Java is required for your end users.

In my organization, we use Kronos as our HRIS system. The best function within Kronos is the timekeeping system, which has allowed us to completely get rid of hand written timecards. Within the timekeeping system, we have also utilized several of the add-on features such as delegate authority allowing managers to delegate their employee's timecards to other managers within their departments when that manager is out of the office or on vacation for approval.

Having used Kronos for several years now, my biggest complaints is that the system overall is not very appealing to the eye. In recent updates, Kronos has tried to make the appearance a little bit better such as the new tile look for the employee homepage, but this is an area that I believe the system still could use many improvements. Overall, the system is good, but at times the appearance, titles for different functions, etc. could be greatly improved.

Recommendations

Be sure to ask about pricing for service package updates. When Kronos does version updates to the system, organizations are required to pay each time they want to get the latest and greatest package.

Easy to navigate. Every widget, tile, tab, etc. is very accessible and easy to understand.

At times it glitches and you have to take a few steps out of Kronos to fix it but that maybe due to our computers.

Recommendations

Don't get overwhelmed by all the information engulfed in the system. It is very easy to navigate once you learn your way around.

I like the flexibility the program offers, we're able to configure it how we want to and rarely run into a time where the system is not capable of doing something (configuration-wise) that we need it to. Reporting is also generally a pleasant experience once you learn where data is stored.

The UI could be modernized a bit and there is a bit of a learning curve for new users. I wish there were more tutorials for getting started with using Kronos - it'd save us a lot of time instead of explaining how to do something over the phone to an employee or creating our own job aids for it.

Kronos is a very capable piece of software once you learn the ins and outs of the system.

I used Kronos in a previous position with a different company, and was very happy and impressed with the system. It did a great job highlighting anything out of a variance meaning if someone was more than 5 minutes late, Kronos would highlight the times in red automatically. That was nice since some time keeping systems do not even do that.

The only issue I had when I used Kronos was that there was a paper process involving time off - That probably has changed, but anything paper based is cumbersome.

Recommendations

Just make sure it fits your current processes - If your organization is constantly developing processes and workarounds to handle a system it isn't a good fit.

It has a clear presentation of information. For example, the time sheets one fills out in Kronos is easy to understand where inputs go and final product upon submission.

Occasionally run into issues with using Kronos when it came to reliably being available for workers to login and stamp their time sheet. We would compensate and just manually log time but it was a headache when we had to manually log time for several consecutive shifts.

Recommendations

Consider demonstrating proper way to fill out time off requests for staff as well as providing an easy-to-use handout for future reference.

The KGS staff have been good to work with most of the time.

The implementation was a disaster. Our implementation manager was pulled off the team mid-project. Still have problems with the system working properly. Setting up anything new is time consuming and very confusing. It is very time consuming to use, a lot of clicking to look up or enter things. This product was not a good fit for our hospital and clinics.

Recommendations

Lots of testing before the live. Make sure they have your GL set up properly, pay codes functioning properly. Timekeeper is hard to customize to our small CAH for transferring time to different cost centers unless you purchase the advanced scheduler, which is very expensive. Customizations and upgrades are also very costly.

Kronos Workforce Central is a functional system for Timekeeping and Reporting. It is easy to build reports based on your needs, and if something is not available within the large database of reporting options, a representative can work to build a report for you based on the information that you require.

Timecards are easy to navigate and make changes to for both the employees and their manager; however, I would not recommend using Kronos for Payroll Processing. My recommendation would be to use Kronos for Timecards, and then import the information over into another system.

Kronos is not user-friendly. I've worked with both the HR side and the timekeeping side, and one of my biggest pet peeves is that the two sides do not communicate with each other. For example, in order to terminate an employee: you must first complete 6 steps in the Timekeeper side of the system (check their timecard, check for open Leave Cases, change their reports-to positions, etc.), and then go into the HR side of the system and complete another 9 steps.

A member of our IS team has built Wizards in Kronos to assist with ensuring each step is complete (because there are so many different screens to go into), but it still requires more time than it should to complete a simple task.

The system also contains many bugs and errors. Most of the time, error messages are vague, so it is unclear how to correct: "Errors were Encountered" is an example of a message that is commonly received.

Looking for an employee's basic information requires clicking on so many tabs because of how everything is separated. There are individual tabs on the HR side of the system for each item: Name, Address, Phone Number, Email, etc., so there is a lot of clicking just to get a few pieces of information.

Recommendations

For basic timekeeping, Kronos does a great job. If you are looking to house employee files, implement effective self-service, and gain general ease of use in your next system, I would look to other software companies for your needs.

The HR portion of this system needs a lot of attention, development, user interface, and even a little bit of love. Our employees have a very difficult time with the functionality of selecting benefits and some of the reporting features don't particularly make sense for the way some of the rules are set up in the system.

Best? I'm really unable to come up with an answer to this question. I'm concerned that administrators might rely on reports using this software as a basis for making decisions.

System unable to make calculations and auto fill in most basic areas. Instead it requires same information to be entered multiple times in multiple places increasing opportunity for error. This system not ideal for healthcare scheduling applications. Multiple glitches requiring necessity of Payroll Dept writing supplemental checks for employees.

System frequently freezes and requires clearing of Java and restarting.

Vendor charges extra for any and all customization.

Recommendations

Use it before you buy it. Especially if you want to use in healthcare industry, speak with others in field who have made the mistake of adopting it.

Listen to end users opinions before purchasing/adopting this software. I cannot overstate that recommendation.

Regarding the question of ease of use--it is not "hard" to use. It is awkward to use. Not intuitive. Reports give more information than asked for requiring user to sift through extraneous information to reach the meat of what they need.

I appreciate your feedback and am very sorry to hear that your experience with your Kronos Workforce Central® solution has not been a good one. In Workforce Central 6, we had similar feedback from customers, especially around issues with Java and some awkwardness in the user experience. In response to customer feedback, we have made many improvements to Workforce Central. It sounds to me like your organization is using an older version of our software. The latest release of Workforce Central 8 has a reengineered user interface that makes tasks much simpler and more intuitive to carry out and with fewer clicks. We streamlined the configuration of the system to further improve data accuracy and reporting. The scheduling application it sounds like you are using has also undergone significant improvement: there are new scheduling rules to minimize fatigue, easier tools to fill open shifts and quickly rebalance staff based on workload and patient intensity, and many other changes.

I've worked with the Kronos application for 14 years (to date), and I have not yet experienced any drawbacks that could not be solved with interface or configuration changes.

Recommendations

I would recommend any new or existing users network with other users in their location or industry for support. I've found that a lot of my issues were resolved by speaking with fellow Kronos users in my state or industry.

We have been very pleased with this product. It does what they say it will do. The report function is just what we needed. We are very impressed with their Global Support. They always respond in a very timely fashion and always have an answer. We know that our timekeeping and payroll will be accurate. We were delighted in the ease of use. Our managers picked up what they needed to know quite fast. Our employees like have direct access to their information.

Some of the initial on-line training is a little slow. Because you take it with others you must go as slow as the slowest participant.

Recommendations

We compared to other vendors and felt this was the best solution for us and we were right. Be sure to compare long term costs. Kronos may be a little more in up-front cost but in the long run, you will save.
